Error messages
Most validation shows up inline, right next to the field it concerns — see the field-by-field notes on each dialog in the earlier pages of this chapter. These are the messages you're most likely to see as a toast or a banner when a save or an action is rejected, and what to do about each one.
| Message | What it means | What to do |
|---|---|---|
| Set a bookkeeping start date first. | The module hasn't been fully configured yet — no start date is set. | Ask an administrator to set a start date under Settings → Configuration. See Getting started. |
| That date is before the bookkeeping start date. | You picked a booking date earlier than the configured start date. | Pick a later date, or ask an administrator to move the start date back (which also re-runs the backfill for the earlier period). |
| Bookkeeping is not enabled for this property. | The Accounting module is off for this company. | Ask an administrator to turn it on under Settings → Active Modules. |
| That accounting period is locked — unlock it or book into the first open month. | You're trying to book directly into a month that's already locked. | Pick a date in the currently open month instead, or ask an administrator to unlock the month if it's the most recently locked one. See Locked months. |
| The posting lines do not balance. | A manual split's debits and credits don't add up to the same total. | Adjust the lines, or click Use derived to let Gurita compute a balanced split for you. |
| That department is not on the bookkeeping department list. | You picked (or a rule/mapping points to) a department that's no longer configured. | Pick a configured department, or ask an administrator to add it back to the department list. |
| That account does not exist or is no longer active. | The account you picked has been deactivated or deleted. | Pick an active account, or reactivate it from Chart of accounts. |
| That account cannot take an entry of this type. | You're trying to post an income/expense entry to a balance-sheet account, or vice versa. | Pick an account of the matching kind. |
| Every entry has to belong to exactly one property. | No active asset is selected. | Choose an asset in the top bar before booking. |
| Enter an amount greater than zero. | The gross amount is blank or zero. | Enter a positive amount. |
| Only a draft can be edited or deleted. | You're trying to edit or delete an entry that's already posted. | Reverse it instead, and book a new entry with the correction. |
| Only a posted entry can be reversed. | You're trying to reverse something that's still a draft. | Delete the draft instead, or post it first if it's correct. |
| This entry has already been reversed. | A second reversal was attempted on an entry that already has one. | No action needed — open the existing reversal from the entry's details. |
| The posting lines add up to a different amount than the gross amount. | You edited the split by hand and its debits total more or less than the Gross amount you entered. | Fix either the split or the gross amount so they agree, or click Use derived to let Gurita compute the split. |
| These posting lines are out of date — reload and try again. | The entry's amount, VAT rate or account changed since you opened it, and it carries a manual split that no longer matches. | Reopen the entry and re-check the split. |
| Only an administrator can do this. | You tried to lock/unlock a month or mark a VAT period as filed without admin access. | Ask an administrator to do it, or request admin access. |
| This VAT period has already been filed. | You're trying to mark a period as filed twice. | No action needed. If new entries posted into it since, it shows as Amended automatically. |
| A system account cannot be changed. | You're trying to edit or delete one of the seeded system accounts (1400, 1600, 1900, 2100, 3300). | These are locked by design — post to or from them instead of editing them. |
| This account still has entries and cannot be removed. | You're trying to delete an account that has posted history. | Deactivate it instead of deleting it — inactive accounts are hidden from pickers but keep their history. |
| Select a supplier. | A supplier invoice was saved with no supplier picked or typed. | Pick an existing supplier, or type a new name and use Create "{name}". |
| This invoice is no longer open. | You're trying to edit or pay a supplier invoice that's already marked paid. | Paid invoices are read-only by design. |
| That file is not in the bookkeeping inbox. | You're trying to attach a document that isn't one of the unbooked receipt-inbox files — when booking a new entry, editing a draft, or attaching a receipt afterwards. | Pick one of the files listed in the receipt inbox instead. |
| The entry was reversed but the replacement posting could not be written. | While assigning a suspense item to an account, the parked entry was reversed but its replacement collided with one written at the same moment — usually two people assigning the same item at once. | Open the suspense queue again: if the item is gone, the other assignment won and nothing more is needed; if the reversed entry is still there without a replacement, assign it once more. |
| You do not have access to this property. | You tried to read or change something — an entry, a recurring template, an opening balance — that belongs to an asset you are not assigned to. | Switch to an asset you have access to, or ask an administrator to extend your asset assignment. |
| Upload a .csv or .json file. | The file you picked for an account import is neither CSV nor JSON — for example an Excel workbook. | Save the sheet as CSV and choose that file. |
| The file could not be read — check it is valid CSV or JSON with an account list. | The import file is damaged, or its content isn't a list of accounts (e.g. an unclosed quote in a CSV). | Open the file, fix it, and choose it again. |
| The file contains no accounts. | The import file has a header row but no account rows. | Add the accounts and choose the file again. |
| The file has too many rows (at most 1000). | The import file is larger than one import allows. | Split it into several files and import them one after another. |
| The file is too large (at most 1 MB). | The import file exceeds the size limit. | Remove unused columns or split the file. |
| The file still has errors — nothing was imported. Fix the rows listed and try again. | The import found rows it can't accept — usually because the file was edited and saved again after you chose it. | Fix the rows marked in the list, then choose the file again. |
| Add at least one payroll line. | A payroll run was saved with no valid employee/amount lines. | Add at least one line with an employee and a gross amount greater than zero. |
