The Journal
The Journal is the working list of every entry for the asset and month you're viewing — the tab the page opens on.
The Journal tab
Filtering, searching and columns
- All / Income / Expenses — a segmented filter above the table.
- Search — matches the entry's description, reference or counterparty as you type (with a short pause before it searches).
- Account chip — appears when you arrived here by clicking Open in journal on a Chart of accounts row; narrows the list to that one account. Click the × on the chip to clear it.
- Columns — a menu to show or hide the Department, VAT, and Paid via columns. Your choice is remembered in your browser.
- CSV — exports just the journal, filtered and sorted exactly as you're viewing it.
Reading a row
| Column | Meaning |
|---|---|
| Date | The entry's booking date. |
| Document | The entry's reference (for example JV-2609-0042). Click it to open entry details. A small clock icon next to a late reference means the entry was posted after its month had already been locked — see Locked months. |
| Description | The entry's description, with its counterparty underneath. |
| Account | The account code and name it posted to. |
| Department (optional) | The cost centre it's attributed to. |
| Paid via (optional) | The payment method, where the entry has one. |
| VAT (optional) | The VAT rate applied. An entry that carries two taxes at once (a sale with Service Tax 10% inside the price and VAT 11% on top) shows both, one under the other — Service Tax 10% and VAT 11% — rather than one blended percentage. The account drill-down in the Chart of accounts shows them the same way. |
| Amount | The gross amount, signed — positive (green) for income, negative (red) for an expense. |
| Status | Posted, Draft, or Receipt? — see below. |
Status chips
- Posted — on the ledger; contributes to every balance and statement.
- Draft — saved but not yet posted; only counts toward the journal list and the "Needs attention" figure. See Booking an entry.
- Receipt? — an automatic expense entry that posted without a document attached. It still counts everywhere a posted entry does, but is flagged so you remember to attach the receipt.
Totals
The bottom row of the table always totals the filtered set you're looking at — never just the entries on the current page — showing the entry count, the income/expense split (and VAT total, if that column is showing), and the net effect.
Paging
25 entries per page, newest booking date first. The footer shows "Showing X of Y entries" with previous/next controls.
If nothing has been booked yet for the period, the table shows "No entries in {month}" with a shortcut straight into New entry.
Receipt inbox
Alongside the Journal, a Receipt inbox card lists files that have been uploaded but not yet turned into an entry — for example, a scanned receipt saved to the bookkeeping folder without going through the entry dialog. Click Book on a row to open Book an entry with the file already attached and the description pre-filled from the vendor Gurita guessed at. The card disappears entirely once nothing is left in it.
Month-end checklist
The second card is a five-item checklist to work through before locking a month:
| Check | What it means |
|---|---|
| Bank statement reconciled | Bank entries matched against the journal. |
| Receipts missing | Expense entries posted without a document. |
| Drafts to approve | Entries waiting for your review. |
| Suspense account clear | Items on 1900 Suspense waiting for an account — see Mapping. |
| Period still open | A reminder to lock the month only after VAT has been filed. |
