The Bookkeeping page
Where: Finance → Bookkeeping (/bookkeeping)
Everything in this chapter lives on one page. By default it follows the active asset you have selected in the top bar and one month at a time; switching either reloads every tab. To look at several properties together, switch the page to the combined view.
The Bookkeeping page
Header
The header carries the page title and subtitle ("{month} · {entries} entries · {attention} need attention · base currency {currency}"), and two actions:
- Export — a menu with Journal CSV and Journal XLSX, downloading the journal for the period you're viewing.
- New entry — a split button. The main button opens Book an entry directly; the small arrow next to it opens a menu with three ways to book something: Entry, Supplier invoice, and Payroll run. See Booking an entry and Supplier invoices and payroll runs.
The period toolbar
Below the header, a toolbar steps you through months with left/right arrows around the current month label, and shows a chip for the period's state:
- {month} · open — new entries can post into this month.
- {month} · locked — the month is closed; see Rules you should understand for what happens if something tries to post into it anyway.
If no asset is selected, the page shows "Select a property to see its books" instead of any figures.
Single asset or combined view
The toolbar also holds a two-way switch, Single asset / Combined.
- Single asset (the default) shows the books of the active asset from the top bar, exactly as described in the rest of this chapter.
- Combined shows the books of several properties together. A picker next to the switch lists every asset you have access to, grouped under Resorts, Vessels and Dive centers — all of them are selected when you first switch. Type in its search box to narrow the list; the search also matches the group, so typing vessel lists every boat. Click an asset to add or remove it. Select all beside the picker selects every asset (or clears the selection when all are selected), and a chip reads "{count} assets combined".
In the combined view every tab adds up the selected properties: the KPI strip, the journal and its totals, account balances (including each property's opening balances), EÜR, GuV and VAT, the suspense queue and the recurring templates. Lists show an Asset column or chip so you can tell which property each row belongs to, and the journal export gets an extra asset column. Changing the top-bar asset does not change the combined selection — the combined view has its own.
Gurita remembers your choice — the mode and the selected assets — in this browser, so the page opens the way you left it. An asset you lose access to is dropped from the selection automatically. If you deselect every asset, the page shows "Select at least one asset to see combined books."
Every entry still belongs to exactly one property. When you create an entry, a recurring template, a supplier invoice or a payroll run from the combined view, the dialog asks you to pick the asset (Book to asset) and won't save until you have. Editing an existing record keeps its own asset. Marking a VAT period as filed is only possible in the single-asset view — see EÜR, GuV and VAT.

The tab bar
Seven tabs, all scoped to the asset (or, in the combined view, the assets) and month you're viewing:
| Tab | What it shows |
|---|---|
| Journal | Every entry for the period — the day-to-day working view. |
| Chart of accounts | Every account, grouped by kind, with balances and a drill-down into its entries. |
| Mapping | Where each automatic source posts by default, your posting rules, and the suspense queue. |
| EÜR | The cash-basis income statement (Einnahmenüberschussrechnung). See EÜR, GuV and VAT. |
| GuV | The accrual profit & loss (Gewinn- und Verlustrechnung), §275 Abs. 2 HGB format. See EÜR, GuV and VAT. |
| VAT | Output vs. input VAT for the period, and the filing history. See EÜR, GuV and VAT. |
| Recurring | Scheduled postings you've set up yourself. |
The KPI strip
Below the tab bar, six cards summarise the period at a glance — every figure here is drawn straight from the journal, never a separate calculation:
| Card | Shows |
|---|---|
| Income booked | Total income entries for the period, with the count of entries behind it. |
| Expenses booked | Total expense entries for the period, with the count of entries behind it. |
| Journal net effect | Income minus expenses, with the margin percentage below it. |
| Needs attention | How many entries are drafts or missing a receipt — the number of items still waiting on you. |
| VAT payable | The running VAT balance (output minus input VAT collected so far), with the next VAT due date. This is the running balance, not the month's own movement — the VAT tab's own figure is the month's movement, and the two are meant to differ. |
| Cash & bank | Your combined cash, bank, card and payment-provider balances. |
