Settings
Housekeeping settings define the named services your property offers, how they're triggered, how they're assigned, how credits and timing work, which optional capabilities are switched on, and whether the new board is rolled out yet. Open it from the main menu under Housekeeping → Housekeeping settings. The entry appears only for users who may change settings.
Housekeeping settings
Who can access this: Requires the Housekeeping module and the Settings (update) permission. Creating, editing, or deleting a service plan additionally needs the matching Housekeeping (create / update / delete) permission.
Service Plans
A service plan is a named service — Departure clean, Full deep clean, Daily cleaning, Turndown service, Pre-check before check-in are the five your property starts with — each with its own trigger, standard time, credits, and checklist. The list shows each plan's icon, name (with a Default badge on the seeded ones), trigger summary, standard minutes, credits, which room types it applies to, and an Active / Paused switch.
Tip: A plan applies to every room type when none is selected — you don't need to list every type by hand unless you want to restrict it.
+ New Service Plan opens the editor:
| Field | What it does |
|---|---|
| Name, Icon, Description, Color | Identity shown on the board and weekly plan. |
| Standard Minutes | The expected time to complete the service. |
| Credits | The workload value of the service, in steps of 0.5 — a value that isn't a half-step is refused. |
| Room Types | Which room types this plan applies to. Leave empty to apply to all. |
| Trigger | What causes the service to be scheduled — see below. |
| Checklist | Ordered steps the maid works through, each optionally marked Requires photo or Requires signature. Reorder with the up/down arrows. |
| Active / Paused | A paused plan stops generating new tasks without deleting the plan itself. |
Note: A service plan belongs to exactly one property (resort or vessel) — whichever is your active asset when you create it. An account not switched to a single property sees a note instead of the create button, since there would be nothing to attach the new plan to.
The trigger
Ten trigger types decide when a service gets scheduled:
| Trigger | Fires |
|---|---|
| Checkout | After a guest's departure, with an optional delay. |
| Before check-in | A lead time before the arrival, up to a latest time. |
| Daily for occupied rooms | Every occupied day — can skip Green Stay rooms and/or rooms with Do Not Disturb. |
| Every N nights | On a cycle, counted from arrival or from the last run. |
| Fixed time | At a set time of day, optionally until a cut-off. |
| Arrival day | On check-in day, with an optional delay. |
| After N vacant days | Once a room has stood empty that many days. |
| Every N days | On a plain cycle, optionally preferring low-occupancy days. |
| After maintenance | When a maintenance record or block on the room is closed. |
| Manual | Never fires on its own — added to a room's day with "Add a service today". |
Most triggers also take a Weekdays selection. Clearing every weekday means the plan never fires — the editor warns you rather than saving a schedule that silently does nothing.
Assignment
| Field | What it does |
|---|---|
| Assignment Strategy | The default strategy Auto-assign proposes: By section, By credit balance, Same maid as yesterday, or Arrivals first. |
| Max Credits per Maid | The workload ceiling auto-assign and the board's over-capacity warning are measured against. |
| Sections | The property's own list of sections — its wings, floors or blocks. Define them here first: both the rooms and the maids below pick from this list. |
| Employee Sections | Which section(s) each maid works. Leave a maid with no sections to let her work anywhere — an empty list means no restriction, not excluded from everything. |
Sections
Type a name and click Add section — "East Wing", "Ground Floor", "Beach Block", whatever your property calls them. The list is per property: switch asset to edit another one's.
Once a section exists it appears in two places:
- on each room, under Master data → Rooms → Housekeeping section
- in the Employee Sections chips below, when you say where a maid works
That is the whole point of defining them here. Rooms and maids are matched by the section's name, so when both were free text "East Wing" and "East wing" were two different sections and a maid pinned to one was not eligible for the other.
Resort rooms only. A cabin's section is its deck, which you already set on the cabin, so this card doesn't appear when a vessel is selected.
:::caution Removing a section doesn't clear the rooms already in it There is no rename, on purpose. The name is what each room and maid stores, so renaming would quietly leave them pointing at a section that no longer exists. If you remove a section, the rooms and maids that used it keep the old name until you set them to something else — so change them first, then remove it here. :::
A room with no section at all can only be taken by a maid with no sections — an "everywhere" maid. That is intended: once you have said where somebody works, a room nobody placed is not silently theirs.
Timing & Credits
| Field | What it does |
|---|---|
| Planning Horizon (days) | How many days ahead tasks are generated for — this is what makes the weekly plan show future days. |
| Task Retention (days) | How long finished tasks are kept before being cleared out. |
| Require inspection | Off, a finished task lands directly on Inspected and the board drops the Inspect button — the state is still recorded either way. |
| Count pauses as work time | Whether time spent paused counts toward a task's worked minutes. |
| Room Type Credit Factor | Multiplies a plan's credits for a given room type (e.g. a suite at ×1.5). Leave a type out to keep it at its default of ×1. |
Capabilities
Three switches turn optional parts of the module on or off for this property. All three default on.
| Switch | What turning it off does |
|---|---|
| Hand blocking issues to maintenance | Stops a blocking issue from also creating a maintenance record. |
| Use lost & found | Removes the whole Lost & found section from every room. |
| Rooms have a minibar | Removes minibar recording from the maid view and room detail entirely. |
Warning — read these switches literally, they are narrower than they sound.
- Turning off Hand blocking issues to maintenance does not stop maids from reporting issues, and does not stop a blocking issue from taking the room Out of order. It only skips creating the separate maintenance record — a room flagged unusable still stops being sold either way.
- Turning off Use lost & found does not delete anything already logged. Switching it back on brings every stored item back exactly as it was.
Minibar templates
A minibar template lists the products one room type stocks. Rooms of a type with no template have no minibar: nothing is offered to the maid, and nothing is ever billed. This card is where you set them up, and it only appears while Rooms have a minibar is switched on above.
The card lists every room type of the property you are currently in, so a type nobody has set up is visible rather than silently missing. Each shows either how many products it stocks, or Not set up.
Press Set up (or Edit) to open the template. Each line has three parts:
| Field | What it means |
|---|---|
| Product | The product to stock. Use the category dropdown above the list to narrow the search. |
| Par level | How many units the room is stocked back up to — the restock target. |
| Mode | Charged, Complimentary or Not stocked (see below). |
The three modes:
- Charged — billed at the product's price when the maid finishes the room.
- Complimentary — stocked and restocked, and still recorded, but billed at zero. Use it for included water or fruit: free to the guest, not free of record.
- Not stocked — a deliberate note that this room type does not carry the product. It is never offered to the maid and never billed.
There is no price to enter, and that is deliberate. The price always comes from the product itself, both when the maid sees it and when it is billed. Change the product's price and every minibar follows immediately — a price stored here would quietly keep charging last season's rate.
Note: Par level is never what the maid types. She records what the guest used; the par level only tells her what to restock to. Changing it later cannot rewrite what was already recorded.
Removing every line and saving is a valid edit — it empties the minibar but keeps the template. Use the delete button on the card to remove the template entirely.
Switch to a property first. Templates belong to one resort or vessel, because the same room type can exist at more than one. An HQ account with no property selected — or a dive-center one — cannot edit them, and the card says so instead of offering a Save that cannot work.
Rollout
| Field | What it does |
|---|---|
| Use new housekeeping board | Adds this module's Housekeeping entry to the main menu for staff with the right permission. |
Before you switch this on — check permissions first. Housekeeping rights are not granted automatically. Turning the board on without them gives supervisors a board they can look at but not touch, and leaves maids unable to open their own screen at all. Under Settings → Users → Roles, grant:
Who Right they need Without it Supervisors / front desk Housekeeping → Update Cannot start, pause, finish, assign or inspect anything Maids Housekeeping → Self (plus Update) The My tasks screen does not appear and cannot be opened Anyone who should see the board Housekeeping → Read No Housekeeping menu entry at all Read access alone is enough to view the board — every action on it needs Update.
Note: There is only ever one housekeeping entry point. While this switch is off, the older Housekeeping tab under Occupancy (see The Occupancy planner) is the only way in. Turning it on adds the new Housekeeping menu and removes that old tab in the same step — the rest of the Occupancy planner is untouched.
