Documents and Messages
Documents
Requires the Documents module, turned on under Settings: Modules.
Who uses this: every traveller on the booking.
Guest portal documents tab
The Documents tab lists the files attached to the booking — confirmations and invoices the property generated (tagged Property), plus files uploaded through the portal (tagged Your upload). What a traveller sees depends on their role:
- The main guest sees everything, including every upload on the booking — their own, a co-traveller's, and message attachments.
- A co-traveller sees only the property's confirmations. Invoices stay on the Payments tab, visible only to the main guest, and uploads aren't listed at all — not even their own — because any upload could be an ID or passport scan of someone on the booking. For the same reason the upload card isn't shown to a co-traveller.
Downloading everything at once: once two or more files in the list can be opened, an All as ZIP button appears in the list's header and downloads them together as one ZIP file. It follows exactly the same rules as opening a single file — it only ever contains the files this traveller could open one by one.
Uploading a file: the main guest can attach their own documents — a flight ticket, travel insurance, a dive log — with Choose a file. Only PDF, JPG, or PNG files are accepted, up to the size limit your property configures (10 MB by default; see Settings: Modules).
Note: On a booking-number sign-in, the property's confirmations and invoices open as usual, but uploads are neither listed nor accepted here (the upload card is hidden), and message attachments show by name only. This is a blanket restriction because the portal can't distinguish an ID scan from any other upload. See Booking-number sign-in: what's restricted.
Messages
Requires the Messages module, turned on under Settings: Modules.
Who uses this: every traveller on the booking, via the message icon or the Questions? card on Overview.
Guest portal message dialog
The message dialog sends a note straight to reception — no e-mail client needed. The guest picks a topic (Transfer & arrival, Activities, Room, Diet, Invoice, or Other), writes their message, and optionally attaches a file (PDF/JPG/PNG, up to the same size limit as document uploads).
- A previous conversation thread shows earlier messages and reception's replies, oldest first.
- The reply is sent to the guest's e-mail address and appears in this thread.
- Attachments in the thread open for the main guest only (and only while the Documents module is on). A co-traveller — or anyone signed in with just a booking number — sees the attachment's name but can't open or download it.
- A response-time hint under the message box (e.g. "We usually reply within 24 hours") comes from your Texts settings. An "urgent matters" phone number, if you configure one, shows alongside it.
For how these messages appear to staff — and how staff replies reach the guest — see Staff workflows.
