Guest form, Extras and Payments
Guest form
Who uses this: every traveller can open and fill in their own form. The main guest can also open and edit anyone else's form on the booking; a co-traveller only sees and edits their own.
Guest portal guest form tab
This is the same guest form staff see in the booking's Guest form tab, presented one section at a time with a progress sidebar. A Travellers switcher at the top lets the main guest jump between everyone on the booking; each entry shows whether that person's form is complete or still open.
- Entries save automatically as the guest types — a "Last saved …" stamp confirms it, and guests can leave and come back later without losing progress. If a photo or scan field is on the form, the guest uploads it right there (JPG/PNG for photos, JPG/PDF for documents), with a Replace option afterwards.
- Once every required field is filled in, a confirmation checkbox appears ("I confirm that my details are correct and complete…") before the guest can Submit form.
- After submission the form becomes read-only; any later change has to go through reception.
Note: On a booking-number sign-in, passport/ID numbers show masked and any ID scan shows as "on file" with no preview — see Booking-number sign-in: what's restricted. The guest can still type a new value over a masked one; only the display is hidden.
Extras
Guest portal extras tab
Any traveller can browse and add extras — the add-on products and packages the property has released for online booking, organised into category chips. These are the active products with the The product is available in the guest form… checkbox ticked (on the product's own page, see Products) that belong to the booking's property, plus products assigned to no property. Products of other properties don't appear.
On a booking with several legs — for example a boat and a resort stay — the guest form and the Extras tab offer the released products of every booked leg's property, plus the products assigned to no property. Products of properties that aren't on the booking are never added, but a line the guest has already ordered stays on the form either way.
Each product card shows the product photo; a product without a photo shows its category icon instead. Adding one puts it in the Selection cart, where a variant or quantity can still be adjusted before confirming.
Adding extras to the booking is a request, not an instant charge. When the guest selects Add to booking, they choose:
- Pay on arrival — the item is added to the booking as a pending request; reception confirms it (usually the same way a guest-form product request is handled today).
- Pay online now — the guest pays immediately through the property's payment provider, and the request is auto-confirmed once payment succeeds.
A closing date applies ("You can add extras up to n days before arrival", or a specific deadline date you configure) — after it, the cart shows the booking window as closed. If a guest earlier chose to pay on arrival and later wants to settle it online instead, a Pay now prompt appears for that pending request.
Payments
Who can access this: the main guest only — a co-traveller sees a note that this view is reserved for the main guest.
Guest portal payments tab
| Section | Shows |
|---|---|
| Payment plan | Every instalment with its due date, amount, and status: Open, Paid, On site, or Running. |
| Due now | The next amount due and its date, with a Pay {amount} button through the property's connected payment provider (card, SEPA direct debit, bank transfer, PayPal, or another configured method). If the selected method adds a fee at checkout (Stripe, PayPal, Wise, DOKU), it's shown next to the method, named in the note under the button, and included in the button's total. A fee configured for FlyWire, Maya, PesoPay, or AirWallex isn't charged in this checkout, so the portal doesn't show it. |
| All paid | Shown once the trip price is settled in full. If only the tourist tax remains, a note explains it's collected on site — see Known limitations. |
| Receipts | Invoices and payment confirmations for this booking, each downloadable. |
| Cancellation policy | The rate's cancellation terms, for reference. |
| Bank details | Shown when bank transfer is an available method — bank name, IBAN, BIC, account holder, and the reference to use. |
See The Folio & Invoicing and Finance for where these payments and receipts come from on the staff side.
