The day board
The day board is where activities are actually run. It shows one property on one day: every session, who is on it, who is missing, how many seats are gone, and — the part that pays for the feature — which guests have paid for an activity and are not on anybody's list yet.
Open it from Occupancy → Activities. The tab sits between Transfers and End of day, and inherits the property and date from the screen around it, so switching property in the top bar switches the board with it.
The day board
Note: If no property is selected the board stays empty and says so — "Activities are planned per property. Pick a property above to see this day." Nothing has been loaded at that point, so an empty board is not an empty day.
Reading a session row
Each row is one session:
| Column | What it shows |
|---|---|
| Time | Start and end, with the duration — 09:00 – 11:00 · 120 min. |
| Activity | The activity type, the session label, and for a course run Session 3 of 5 plus the run's name and start date. |
| Venue | The location, and any free-text venue note. |
| Staff | Who is assigned, with their initials. Under it, any staffing gap the type requires but nobody fills — Guide · 1 missing. |
| Seats | 1 of 2 — seats used against capacity. Unlimited when the session has no seat limit. Full when they are gone. |
| Status | Planned, Confirmed, Running, Completed or Cancelled. |
| Actions | Open roster, and a More menu with duplicate, cancel and delete. |
A red Clash pill appears on a row when somebody assigned to it is also assigned somewhere else at the same time — Clash · Open Water 1 13:00, with the overlap in minutes. It is an advisory, not a block; see Planning a session.
Under the list, a one-line summary of the day: 2 sessions · 2 of 4 seats used · 0 sessions full, plus a count of sessions with no seat limit if there are any.
Filters
Filter opens a row of narrowing controls — Type, Category, Status and Staff — with Clear filter to drop them all. Filtering a day empty says "No activities match the filters" rather than pretending the day is free, which is the distinction that matters when you are looking for one instructor's morning.
The unscheduled-guest banner
Above the list, when it applies:
3 guests paid for an activity and are not scheduled yet. — Review candidates
This is the failure the feature exists to prevent: a guest paid for a course three days ago, nobody wrote it anywhere, and they fly home tomorrow. The banner does not go away until each of those sales is on a roster, and it gets more urgent when the guest is close to departure — "1 of them leaves within a day — last chance to schedule Anna Weber."
Review candidates opens the same list as Add participants; see Adding participants.
Creating things from the board
Four buttons sit above the list:
- New activity — one dated session. Opens the session editor; see Planning a session.
- Start a course run — generates a whole run from an activity type's curriculum: one start date, one dialog, all sessions. See Course runs and enrolments.
- Add participants — puts guests who have paid onto a session. It carries a badge with the number waiting. Disabled on an empty day, with the reason: "There is no session on this day to add guests to — create one first."
- Series — leaves the board for the full list of course runs.
Duplicating a session
Duplicate to another day copies a session's type, times, capacity, venue and staff to a date you pick. The roster is not copied — a duplicate is a fresh empty session, not a second copy of today's guests.
Deleting a session
Deleting a session that nobody is on just asks to confirm, and reminds you that "Invoices are not touched — refunds are handled in Folio."
If guests are still on the roster, the delete is refused: "This session still has participants", with the count and the advice to cancel them on the roster first. Delete anyway… is offered behind a second confirmation that spells out what it does — the session and its whole roster go for good, and it cannot be undone.
Warning: Deleting a session never touches money. Charges already made stay on the folio and no refund is created. If the guest is owed something, do it in Folio.
The gear panel
Gear demand for this day sums the rental products every roster on the board names, so the shop knows what to lay out in the morning. It is covered in Gear and equipment.
Who can access this: requires the Activities (read) permission and the Activities module. Creating, editing and deleting sessions requires the matching write permissions. The board only ever shows properties your account reaches.
