Activity types
An activity type is the template for everything you offer: "Open Water Course", "Sunset Cruise", "Morning Yoga". It holds how long a session runs, when it usually starts, how many seats it has, who must staff it, what gear the guests need, and — for a course — the whole curriculum of sessions.
Find it under Master Data → Activities → Activity types. The screen is a list of types on the left and the editor on the right; + New type adds one.
Activity types
The three kinds
Each type shows a chip telling you what it will do when it is sold:
| Chip | What it means |
|---|---|
| Single | One dated session. Selling it books a seat on a day. |
| Recurring | A curriculum with no course flag — one start date generates several sessions, but nobody is enrolled and no progress is tracked. Weekly yoga. |
| Course | A curriculum and the Is a course switch. Selling it creates an enrolment across every session of the run, with attendance and an optional certification. |
The switch that decides between the last two is Is a course — "selling it creates enrolments". Everything else follows from the curriculum.
Basics
| Field | What it does |
|---|---|
| Name | What staff and guests see. |
| Category | Reuses your product categories — only categories marked for activity use are offered. Categories drive the filter on the day board. |
| Default capacity | Seats on a session of this type. 0 means unlimited, not "full". A session can override it. |
| Default duration | Minutes. Pre-fills the end time when a session is created. |
| Default start | The usual start time, pre-filled on new sessions. |
| Min age / Max age | Checked when a guest is added — see the warning below. |
| Prerequisite note | Free text for the desk ("open water certified, 20 logged dives"). Nothing is machine-checked. |
| Images | Shown in the booking widget. |
| Resort / Vessel / Dive center | Which properties offer this type. Leave every property empty to offer it everywhere. |
| Active / Inactive | Inactive types disappear from new sales and stay intact on everything already booked. |
Note: Age limits warn, they do not block. Adding a guest below the minimum says "Below the minimum age of 12 for this activity — currently 10. Allowed — the desk may hold a signed waiver." The desk stays in charge.
Warning: If your account only reaches specific properties, saving a type with no property selected is refused: "Pick at least one property" — an unscoped type would land outside your reach and you would not be able to open it again.
Curriculum
The Curriculum tab turns one start date into a whole run. Each row is a session: a Label ("Theory", "Open Water 1"), a Day offset counted from the start date, a Time and a Duration.
The curriculum tab
- Leave the list empty and the type is a single dated session.
- Generate weekly … fills the list from a pattern — a number of sessions, an interval in days, a time, a duration and a label pattern where
{n}becomes the session number. It replaces whatever is in the list, and nothing is saved until you press Save type. - Rows stay individually editable after generating, and can be dragged to reorder.
- A Preview for a run starting … line shows the real dates you would get.
Warning: Changing a curriculum never rewrites runs that already exist. The editor says so directly — "Existing runs are not rewritten". Only runs generated from that point on use the new entries, so a session already on somebody's calendar keeps the label and time it was created with.
Staffing & gear
Staffing requirements lists which employee roles a session of this type needs, and how many of each. The day board compares this against who is actually assigned and shows the gap — "Instructor · 1 missing" — but an under-staffed session still saves. It is a checklist, not a lock.
Venue resources decides what a session may claim: boat, vehicle, room or POS location. Leave Allowed resource kinds empty to allow every kind.
Warning: Narrowing the allowed kinds later can strand sessions. A session that already claimed a resource keeps it, but the next time its resources are edited the claim is refused.
Default gear lists rental products every participant is expected to need. It pre-fills each guest's gear row on the roster, where staff can change or clear it. Clearing a row means own gear. Ticking gear never creates a charge — a rental fee, if you charge one, stays an ordinary product sale.
Certification
For a course, switch Certification on and set the Agency and Level (for example PADI / Open Water Diver). Nothing is written anywhere yet: the values are defaults, recorded per enrolee on the series screen when an instructor enters a result. See Course runs and enrolments.
Linking a product
A type on its own is not sellable. The link is made on the product: set its Default activity type and every sale of that product becomes a candidate for scheduling. One type may be sold by several products — season and agency price variants are ordinary product pricing and are not re-modelled here.
See Products.
Deleting a type
Delete type works only while nothing references it. If sessions exist you get "This type is still in use" with the count, and the offered way out is Deactivate instead — the type disappears from new sales and stays intact on everything already booked.
Who can access this: requires the Activities permission and the Activities module. Users scoped to specific properties can only edit types offered at a property they reach.
