Utilization, night ledger and revenue
Once a contract is live, three views answer three different questions: how is it doing, what exactly happened to each night, and what did it earn.
Utilization: the five buckets
Every held room-night sits in exactly one bucket, and the five always add up to the total held.
Utilization bar
| Bucket | Meaning |
|---|---|
| Sold | Confirmed bookings on the allotment. |
| Optioned | Offer or waitlist bookings — claimed but not confirmed. |
| Remaining | Still sellable from the contract. |
| Released | Returned to open inventory, by cut-off or by hand. |
| Unavailable | Sold to another booking — either before activation, or taken since with an override. |
Unavailable is the bucket worth watching. It is the difference between what you promised and what the agency can actually have, and it grows silently every time someone overrides a hold. A contract with a rising Unavailable count is a conversation with the agency waiting to happen.
Note: This is a live operational view, not a statement of account. It reflects the system right now, not an agreed position at a point in time.
The night ledger
The Night ledger tab is the audit view behind the bar: every room-night of the contract, its current state, the booking consuming it, and when it last changed.
Night ledger
Filter by room or by state. This is where you answer "which nights exactly did we lose, and to whom" — every consumed night names its booking, and clicking through takes you there.
Revenue
The Revenue tab totals what the contract produced: gross, commission, and net, plus the number of bookings, converted into your base currency.
Revenue tab
Cancelled bookings are listed separately and never count towards the total — a contract's revenue is what it actually earned, not what passed through it.
The basis is the set of bookings consuming this contract, which is exactly why the link matters: a booking that belongs to the contract but was never attached to it is missing from this number. See Adding an existing booking.
History
The History tab records the lifecycle: who activated, released or cancelled the contract and when, plus the immutable activation report. Manual releases carry their reason and requester.
Who can access this: requires Allotments (read). Agency users see these views for their own contracts, read-only.
