Selling from an allotment ​

A held room-night is blocked for everyone. Selling from the contract is how you get through that block on purpose.

From the booking wizard ​

Create the booking as normal. When the resort and the dates are set, an Allotments panel appears listing the contracts that cover the stay.

  • Pick a contract and the booking consumes it.
  • If the booking already carries an agency and that agency has exactly one matching contract, it is selected for you and marked Auto-matched.
  • If nothing covers the stay, the panel does not appear at all.

Picking a contract for a booking whose agency is a different one gets you a warning — that combination is refused on save.

Note: A booking linked to a contract also inherits the contract's agency if it had none. An agency already on the booking is never overwritten.

From the timeline ​

The occupancy timeline shows held nights as Allotment blocks, labelled with the contract. Clicking one offers Book from …, which opens the wizard with that contract already selected, and Open allotment.

This is usually the fastest route: you can see which nights are held before you commit to anything.

When a booking is refused ​

Booking a held night without going through the contract is refused, and the message names the contract rather than just saying no:

Pick another room, book from the allotment, or wait for the release.

That rejection is the prompt. It tells you the room, the agency, the contract and the date it frees up, which is everything you need to decide what to do next.

Taking the nights anyway ​

Staff with the right permission can override. The confirmation is deliberately blunt about the consequence:

An agency contract holds these nights. Booking anyway takes them: for the contract's own agency the booking consumes the allotment, for anyone else the nights are taken outside it and the contract keeps holding fewer of them than it thinks. Continue anyway?

So the override does two different things depending on who is booking:

  • The contract's own agency — the booking consumes the allotment normally.
  • Anyone else — the nights are taken outside the contract. They show up as Unavailable in the utilization, and the agency has quietly lost inventory it was promised. Tell them.

Warning: The override only waives allotment holds. A maintenance block or a real double-booking is still refused — there is no way to force those.

Editing a booking that consumes a contract ​

Change the dates or rooms of a linked booking so that it no longer matches the contract, and Gurita stops and asks:

This edit leaves the linked allotment contract with no room-nights matching this booking any more — the booking will stop consuming it, but stays linked. Continue anyway?

The point is to stop a routine edit from silently costing the agency a sale. Confirm and the edit goes through.

Who can access this: creating bookings requires the Bookings permission; seeing and using the allotment picker also requires Allotments (read). The override requires booking create and update rights.
