Creating and activating a contract
Contracts are written on the agency they belong to, not in a separate module. Open the agency (/agency/:id) and pick the Allotments tab.

Writing the draft
New allotment opens the contract form.
| Field | Notes |
|---|---|
| Contract name | Free text, shown everywhere the contract is referenced — make it recognisable, e.g. Summer 2026 · Blue Ocean Travel. |
| Resort | Only rooms of this resort can be held. |
| Hold period | Check-out exclusive: the night of the departure day is not part of the contract. |
| Rooms | The specific rooms held. A contract is per room, not per room type — see the warning below. |
| Release (cut-off) | Rolling or fixed. Covered in Release and cut-off. |
| Reminder | How many days before the release the agency is warned. |
| Agency contacts | Optional email addresses that receive the reminder and release mails. |
| Comment | Internal note, never shown to the agency. |
Gurita assigns the contract number itself.
Warning: Rooms are held individually, by name. If the agency's contract is really "four garden bungalows, any four", pick the four you are willing to commit and be aware that a booking in a different garden bungalow will not count against this contract — even on the same nights. This matters when you attach an existing booking; see Adding an existing booking.
A draft holds nothing. You can edit it freely, copy it, or delete it, and no room is affected.
Activating
Activate turns the promise into holds. Gurita warns you what that costs before it happens: "Activate „…“? N rooms will be held for the agency and are no longer freely sellable."
From that moment the room-nights are blocked, the contract appears on the timeline, and the rooms drop out of availability searches.
The activation report
Activation does not overwrite reality. If some of the room-nights were already sold when you activated, Gurita holds everything else and excludes those, then shows an activation report saying so.
Activation report
Each row names the room, the nights that could not be held, and the booking that already held them — so the report answers "which booking took this room" without a search. Below it, the lifecycle history records who activated the contract and when.
The report is immutable and stays part of the contract's history. It is the answer to "why does this contract hold 18 nights when we agreed 20?" — and it is worth reading before you send the agency their confirmation.
Confirmation PDF
The contract detail page offers Confirmation (PDF) — a printable summary of what was agreed, for sending to the agency.
Copying for next season
Copy creates a new draft with the same rooms and terms, which you then re-date. The dialog offers Move the bookings to the new draft — use it when you are correcting a contract that already has bookings on it, and leave it off when you are genuinely writing next season.
Who can access this: creating requires Allotments (create); activate, release and cancel require Allotments (update); deleting a draft requires Allotments (delete). Creation is hidden when the Agency Sales module is off, but existing contracts stay readable and can still be released or cancelled.
