The Team
Route: /shiftplan?tab=team
The Team tab is your staff directory and the home of each person's record. It opens on a searchable list; clicking someone opens their profile with three inner tabs — Details, Month, and Worklog.
The Team list showing staff with their department, role, and status
The staff list
Each row shows the person's name, role, primary department (as a coloured chip), status (Active / Aborted), and contact details. Search staff filters by name, e-mail, or role. Use + Add employee in the header to create a new person (see below).
Details tab
The person's full profile. Key fields:
| Field | Notes |
|---|---|
| First name / Last name | The person's name. |
| Type | The staff type (for example Guide, Reception). The list of types is managed on the Settings tab. |
| Status | Active or Aborted (a person who has left). |
| Departments | One or more departments the person belongs to; the first one is their primary department (it drives their colour and where they group on the roster). Toggle the department chips to change membership. |
| Role | A free-text job title, suggested from the same list as Type. |
| Resort / Vessel / Dive Center | Which assets the person works at (shown for the asset types your company uses). |
| E-mail / Phone | Contact details. |
| Birthday, Internal ID, Employment start / end | Personnel details. Setting an Employment end (or marking someone Aborted) triggers the offboarding prompt below. |
| Address | Street, ZIP, city, country. |
| Holiday allowance (days/year) | The person's annual leave entitlement; the Month view shows how much is used against it. |
| Hourly rate + Currency | The person's pay rate and the currency it's in. Used by the Report's labour-cost column. Visible only to Administrator/Accountant roles. |
Save changes with the Save button — available both at the top of the profile (next to Delete employee) and at the bottom of the form. Cancel discards unsaved edits.
Tip: The rate currency defaults to your company's base currency; change it per person for staff paid in another currency.
Adding an employee
+ Add employee opens a compact dialog for the essentials — name, type, role, departments, e-mail, phone. Save it and the new person opens in the Details tab so you can complete the rest of the profile.
Removing an employee, and offboarding
Delete employee (top of the profile) removes the person; you're asked to confirm because shifts, leaves and work logs will be removed as well. If instead you mark someone Aborted or set an Employment end date and they still have upcoming shifts, Gurita offers to clean those future shifts up (Delete {n} future shifts of this employee?) so the roster doesn't schedule someone who has left.
Warning: Deleting an employee is permanent and also removes their shifts, leave, and work-log history. To keep the history, set the person to Aborted instead.
Month tab
A calendar of the selected month showing every shift and day of leave for this person at a glance, with month stepper arrows and summary stats — days worked, hours, leave days, and a {used} / {total} holiday days figure against their allowance.
Worklog tab
A day-by-day table of the same month: Date, Type (shift type or leave kind), Time, Hours, Location, and Status, with a totals row. This is the detailed record behind the month summary.
Exporting the month
Both the Month and Worklog views carry Export CSV and Export Excel buttons that download the selected month's worklog (date, type, time, hours, location, status, plus a totals row) as a .csv or a spreadsheet — useful for payroll. The file is named for the person and month.
Who can access this
Requires the Shift permission. Adding, editing, and deleting staff require the matching employee rights. The Hourly rate/Currency fields are visible only to Administrator/Accountant roles. Visible when the Shift Plan module is active.
