Scheduling shifts and time off
Opened from the Roster (via + Add shift, an empty cell, or a shift chip), the entry dialog handles everything you put on the roster. It has three modes across the top — Shift, Recurring, and Time off — so the same dialog creates a one-off shift, a repeating pattern, or a block of leave.
This dialog opens on top of the Roster; it does not have its own page address.
Shift — a single working period
The default mode. Put one person on one shift for one day.
| Field | What it does |
|---|---|
| Employee | Who the shift is for. |
| Shift type | Pick a predefined shift (for example Morning, which fills in the start and end times), or Custom to type your own times. Shift types are set up on the Settings tab. |
| From / To | Start and end time. Filled in by the shift type, or set freely for a Custom shift. |
| Location | Where the person works this shift (for example Reception, Boat). The list of locations is managed on the Settings tab; you can also type a one-off value. |
| Status | Confirmed (set), Requested (proposed, shown dashed on the roster), or Sick. |
| Note | A free-text note for this shift. |
Note: If the new shift overlaps another shift the same person already has that day, the dialog warns you (Overlaps another shift of this employee on the same day) — Gurita does not stack overlapping shifts.
Recurring — a repeating pattern
Create the same shift across many days in one go.
- Set the shift details (type, times, location) as above.
- Choose the Weekdays it should fall on (for example Mon/Wed/Fri).
- Set the From and To dates that bound the repetition.
- The dialog previews how many shifts it will create (Creates up to {n} shifts).
When you save, Gurita creates one shift on each matching day, and reports the result — for example {c} created · {l} skipped (leave) · {d} duplicates skipped:
- Skipped (leave): days where the person already has full-day time off are left out — a recurring shift never lands on someone's day off.
- Duplicates skipped: days where an identical shift already exists are not doubled up, so it's safe to re-run a pattern.
Time off — holiday, sick leave, unpaid
Record a block of leave instead of a shift.
| Field | What it does |
|---|---|
| Employee | Who is off. |
| Type | Holiday, Sick leave, or Unpaid off. |
| From / To | The date range of the leave (a single day if From and To are the same). |
| Day part | For a single day, mark it All day, Morning, or Afternoon. Half-days let someone take a morning off and still work the afternoon. |
| Note | A free-text reason or reference. |
Time off shows on the roster in its own colour (see the legend) and, for holidays, counts toward that person's holiday allowance on their Team profile.
Warning: A full-day leave hides any shift on the same day (A full-day leave covers this day — the shift stays hidden until the leave is removed). Use a Morning/Afternoon half-day if the person still works part of the day.
Saving, editing, and deleting
- Save stores the entry and returns you to the roster, which refreshes to show it.
- Re-opening an existing shift or leave shows Edit shift / Edit time off with a Delete action to remove it.
Who can access this
Requires the Shift permission with create/update rights. Visible when the Shift Plan module is active.
