Vessel lists: Boat Lists & Resort Lists
A list is a reusable template for exporting who is travelling — a passenger manifest for the harbour master, a dietary sheet for the galley, a dive-certification list, a price sheet. You define the columns once; from then on the crew generates the filled document for any departure or date in two clicks (see Generating and printing lists).
Who can access this: Boat Lists requires the Vessels permission and the Liveaboard module; open Master Data → Boat Lists (/vessellist). Resort Lists requires the Resorts permission and the Resort module; open Master Data → Resort Lists (/resort/lists). Creating, editing, or deleting a list works with the create/edit/delete permission of either group — Vessels or Resorts — because both pages manage the same kind of record.
The two pages are the same tool: each shows the lists tied to that asset kind, and a list with no asset restriction appears on both. Only the generation differs — a boat list is filled per departure, a resort list per date (see the next page).
The list overview
Boat list builder with draggable columns
The overview shows every list template with:
| Column | What it shows |
|---|---|
| Status | A dot: green = Active, yellow = Draft. Only Active lists are offered on the print menus. |
| Name | The list's name, plus its File name when one is set. |
| Columns | How many columns the list defines. |
Use the row actions to open, copy, or delete a list. Copying creates "name (copy)" as a Draft — handy for building variants of a master manifest without touching the original.
Creating or editing a list
| Field | What it does |
|---|---|
| Name | The list's internal name. |
| Language | The language the document is produced in. When set, it overrides the language of whoever clicks Print. |
| Status | Active or Draft. Only Active lists can be generated. |
| Template Type | media = the output is built from a document in your media library (Word, Excel, or plain text). html = it is built from an HTML mail template. |
| Media | The actual template: a searchable picker over your document assets (for media) or a dropdown of mail templates (for html). |
| Asset | Which vessels/resorts this list applies to. Leave empty for all; Select All ticks every asset at once. |
| Sort by | The order rows appear in — by cabin (the default), last name, first name, nationality, birthday, arrival, arrival then cabin, or departure. |
| File name | The generated file's name. Left blank, it fills in from the chosen template. |
| State | Which booking states are included: Confirmed (the default), Option / Hold, Cancelled. |
| Columns | The columns to print — see below. |
The output format follows the template you picked: an Excel template produces an .xlsx, a Word template a .docx, a plain-text template a .txt, and an HTML mail template is rendered to a PDF.
The column builder
Click Add row to append a column. Drag the handle to reorder (or use the up/down arrows), and the trash button removes a column. Every column has a Type, usually a Value picker, and an optional Title — the heading printed in the document. Leave Title empty and a sensible heading is derived from the chosen field.
Each column's Type decides what it pulls for each guest:
| Type | What it outputs |
|---|---|
| Increment | An automatic running row number (1, 2, 3…). |
| Text | A fixed heading with an empty cell — for columns filled in by hand, like a signature. |
| No Item | An empty placeholder column. |
| Guest form | An answer from the online guest form — passport number, allergies, dive certification, or a whole form group at once (the "All …" options). |
| Customer | A value from the customer record: full name, customer type, number of stays/nights/bookings, revenue, last stay, or their loyalty level. |
| Booking | A value from the booking: cabin number/name/type, bed type, arrival, departure, nights, booking number, reference, agent, sales rep, prices (open, on-site, direct), comments, supplements. |
| Products | A whole product category for the guest — with variants for on-site, direct, or free items. |
| Product | One specific product: pick the Product Category first, then the product. |
| Todo | The status of a to-do item on the booking — one item, "All", or "All solved". |
| Price | A fixed amount you type into the template, per currency — for price sheets. |
Note: Products (plural) prints a whole product category; Product (singular) prints one specific product. Easy to mix up when building a list.
Tip: Build one master manifest with the columns your crew always needs, then copy it and swap a few columns for the special-purpose variants — immigration, catering, dive certs. The copy starts as a Draft, so it never appears on print menus until you switch it to Active.
