The Trip Date page & Move cabins
Every departure has its own page — the place to run a trip rather than set it up: check who's on board and what they owe, check guests in, print the paperwork, mail everyone, and shuffle cabin assignments. Open it with the eye icon on the Trip Dates list, from the Trip Calendar, or from a booking.
Who can access this: Requires the Trips (schedules) permission to view. Individual actions need more — noted below. Visible when the Liveaboard module is active.
The trip page
Trip Date page with summary and tabs
The header summarises the departure — date range with nights, itinerary and trip name, From / To harbours, Vessel, and a status chip — and offers action buttons (each appears only when it applies):

The Details tab
Three cards give the trip's vitals at a glance:
- Payments — Total Amount, Paid, and Amount due across the trip's bookings. The card is red while money is outstanding, green when settled.
- Occupancy Rate — beds (standard / maximum), Available Spaces, and how many beds are occupied, as a count and a percentage.
- Booking — how many bookings are Confirmed, Option / Hold, and on the Waiting List.
Below the cards, the itinerary's description and course texts are shown in your language — handy when a guest calls with questions.
The other tabs
- Bookings — the full booking list scoped to this departure.
- All Customer — everyone on board with their Cabin, Name, and Booking. If your company uses Gurita's check-in/check-out, this tab is where the crew checks guests in and out on turnaround day, and marks a No Show (or undoes one).
- Reports — per-trip mini-reports: Payments (every payment against the trip), Cabins (occupancy per cabin), Customer (guest details with nationality and passport number), Repeater (returning guests and their previous trips), Products (extras per guest), Guest forms (who has and hasn't filled theirs in — create missing ones here), Comment, and Surveys. Some sub-tabs need their matching permission (payments, comments, customers).
- Lists — the boat lists for this departure: preview them inline, open them as a web page, or download the document. See Generating and printing lists.
Tip: An administrator can choose which tab opens first (booking settings → default schedule tab) — front-desk-heavy operations often prefer All Customer.
Change Cabin Assignment (Move cabins)
Who can access this: Requires the Bookings edit permission; only for departures that haven't started yet.
When guests need reshuffling — a cabin swap, honeymooners who'd like the upper deck — open Change Cabin Assignment from the trip page, from a Trip Calendar event, or from a vessel booking.
Move cabins by dragging guests between beds
The board shows every cabin (grouped by cabin type) with its beds, and every guest from confirmed and Option/Hold bookings on the trip; cabins on the trip's Excluded Rooms list are left out. Each guest starts in a bed of the cabin they booked.
- Drag a guest onto another cabin's bed to move them; if that bed is taken, the two guests swap. Drops within the same cabin do nothing.
- Inactive beds are flagged with a red marker and dashed border, and never take a guest.
- Lock a cabin (padlock icon) to keep its guests where they are. A cabin whose booking is locked shows a permanent red padlock — those guests cannot be moved at all. Locks are saved with the assignment.
- The header counts NoOfPax against Assigned and shows a green check when they match. Save stays disabled until every guest has a bed.
