Trip Dates (schedules)
A trip date (also called a schedule) is one dated departure: this itinerary, on this vessel, leaving on this date. It is the thing guests actually book a cabin on. This page covers the Trip Dates list, creating and editing a departure, activating its cabins, and copying whole seasons forward.
Who can access this: Requires the Trips (schedules) permission (view, create, edit). Visible when the Liveaboard module is active. Open Trip Dates (/schedule), or the Trip Dates tab of an itinerary.
The Trip Dates list
Trip Dates list with year and vessel filters
Each row shows the trip's Status dot, Internal ID (trip code), the check-in and check-out dates with their harbours, the Vessel, the itinerary and trip Name, and a price button:
- Green with the price name — a price is attached; click it to open that price season.
- Red "All Prices" — no price resolves for this trip yet; click it to jump to the Prices list and fix that. A trip without a price cannot be booked.
The status dot colours match bookings: Planned is orange, Confirmed green, Cancelled red, and Dry Dock / Maintenance black.
Filter by Vessel, Itineraries, and Year, and with two checkboxes: only upcoming (on by default — trips departing today or later) and Only with price. Picking a Year shows that whole calendar year instead of only upcoming trips. The filters are kept in the page address, so you can bookmark or share a filtered view.
Click a row's expand arrow to see the trip's bookings inline — state, booking number, agency, cabin, and price — without leaving the list. The eye icon opens the trip's own page (see The Trip Date page).
Creating a trip date
- Click Create (or copy an existing trip — see below).
- Set the Vessel, the Itinerary, and the Status (usually Planned while you prepare it).
- Set the Harbour, Date, and time for Check-In, and the same for Check-Out.
- Give it a Name and a Trip Code if you use your own references, fill in any of the optional fields below, and Save.
The optional fields tailor a single departure without touching the itinerary:
| Field | What it does |
|---|---|
| Excluded Rooms | Cabins not sold on this trip (e.g. crew or maintenance cabins). They disappear from availability and from cabin assignment. |
| Min. number of guests to confirm trip | The lowest guest count before the trip is viable (0 = off). Overrides the vessel's own default. |
| This trip has a special offer | Switches on the Promotion Text — a free-text line shown to guests. |
| Full Charter Price + Currency | A single price for booking the whole boat. Left empty, Gurita computes it from the cabins. |
| This trip is available exclusively as a full charter | Sell the entire boat only, not individual cabins. Available once at least one booking channel is enabled. |
| Supplements | Trip-specific add-ons (shown when the schedule-supplements feature is on). |
| Agent Remarks / Dive Requirements / Notes / Tags / External Link | Notes for agents, minimum certification, internal notes, search tags, and a public link. |
| Is available for agent / customer direct bookings | Which channels may sell this trip. Remember: the itinerary's own flags must allow the channel too. |
| This trip can be sold by agencies via booking widgets as well as to other agencies. | Agency resale of allotment through a linked booking — shown only when the Agency Sales feature is active. |
An Additional Information tab offers the same free key/value fields as on itineraries, and a Booking tab (on saved trips) lists this departure's bookings.
Note: If Keep schedule nights is enabled in booking settings, moving the check-in date automatically shifts check-out to keep the same number of nights.
Warning: A trip date cannot be deleted once it has bookings, or while a price still references it. Cancel the trip instead, or clear those references first.
Statuses
| Status | Meaning |
|---|---|
| Planned | A provisional departure — the default for new and copied trips. |
| Confirmed | A live departure. Confirmed trips on the same vessel must not overlap. |
| Cancelled | The departure is called off; history stays intact. |
| Dry Dock / Maintenance | The boat is out of service for this period — useful to block the dates visibly. |
Saving a Confirmed trip runs a date check: two confirmed trips on the same vessel may not overlap (same-day turnarounds — one ends the day the next starts — are fine). An administrator can relax this with the allow conflicting trip dates setting.
The Cabins tab
On a saved trip, the Cabins tab lists every cabin of the vessel with an on/off switch. Only the cabins you switch on are offered on this departure. Switching one on reveals three per-trip fields — Min. no of pax, Standard occupancy, and Max. no of pax — which let you fine-tune that cabin's occupancy for this trip within the limits of its cabin type (values outside the type's own min/max are clamped back on save).

Copying trips and whole seasons
Copy (row icon) opens a pre-filled Create Trip Date dialog — adjust the dates and it creates a brand-new trip with the same setup.
Copy (All) on the toolbar clones a whole season at once. Pick the From / To window of source trips, the vessels, and the Years to add (default 1). Every trip in the window is duplicated that many years ahead, re-aligned to the same weekday — a Saturday departure stays a Saturday — and created as Planned, ready to review, price, and confirm.
Tip: Bulk-copy is the fastest way into a new season: clone last year, then walk through the Planned copies — check the dates, attach the new season's price, and set each one Confirmed as it firms up.
Printing an availability list
The Print button on the toolbar (shown once an administrator has registered schedule print templates) produces a multi-trip availability and price list — trips grouped by month for a date range, rendered from a template of your choice. Pick the Template, the From / To dates, the Vessels, and optionally which Room Types, whether to include the single-cabin supplement or the higher-occupancy discount in the printed prices, the cabin-type Sorting, and which booking channels' trips to include. The result opens in a new tab or downloads, depending on the template.
Note: This is the sales-facing availability list. For the operational guest lists and manifests of one departure, use the trip page's Lists tab — see Generating and printing lists.
