Itineraries
An itinerary is the reusable route a boat sails — from port, to port, the dive sites along the way, and the sales text that describes it. You set it up once and sell it many times: each dated departure of an itinerary is a trip date (schedule), and that is what guests book a cabin on. Itinerary → trip dates → bookings is the order everything else in this chapter builds on.
Who can access this: Requires the Itineraries permission (view, create, edit). Visible when the Liveaboard module is active. Open Master Data → Itineraries → All Itineraries (/tour/list).
The All Itineraries list
Itinerary list
The list shows every route with its Status dot (Draft, Active, or Cancelled), Name, Internal ID, and the From / To ports. Search covers names, IDs, ports, and the translated descriptions. Click a row to open it; use the toolbar to create, edit, or delete selected itineraries.
The ICS button on the toolbar downloads a calendar file (schedule.ics) of all upcoming trip dates across your itineraries — import it into Outlook, Google Calendar, or any calendar app to see your season alongside your other appointments. Confirmed trips arrive as confirmed events, drafts as tentative.
Warning: An itinerary can only be deleted while it has no trip dates and no bookings. Remove or reassign its departures first — or set its status to Cancelled instead, which retires it without losing history.
Creating an itinerary
Click Create and fill in the Itinerary tab:
| Field | What it does |
|---|---|
| Name | The itinerary's internal name (e.g. "Tubbataha 6 nights"). Required. |
| Status | Draft, Active, or Cancelled — see below. Required. |
| Internal ID | Your reference code. Required. |
| From / To | Departure and return ports, picked from your ports list (see Geographical data). Both required. |
| Divesites | The dive sites this route visits, from the dive-site catalogue. |
| Agent Remarks | A free-text note aimed at agents. |
| Dive Requirements | Free text for the certification or experience you expect (e.g. "Advanced Open Water, 30 logged dives"). |
| Tags | Free-text search tags. |
| External Link | A URL to a public page about this route. |
| Is available for agent / customer direct bookings | Whether the itinerary may be sold through the direct-booking channels. Both default to on; each is greyed out if your company's booking settings don't allow that channel at all. |
Save, and four more tabs appear (they only exist once the itinerary has been saved).
Statuses
| Status | Meaning |
|---|---|
| Draft | Work in progress. Hidden from guests and agents while you prepare it. |
| Active | Live. Only Active itineraries appear in customer- and agent-facing listings. |
| Cancelled | Retired. Hidden from sale, but its history (trips, bookings) stays intact. |
Note: For a departure to actually be bookable online, both levels must allow it: the itinerary's "available for … direct bookings" flag and the same flag on the individual trip date. Switch either off to pull that channel.
The other tabs
- Additional Information — a free key/value store for anything the standard fields don't cover. Click Create, name the Key, pick a Type (text, number, or yes/no), and save; each entry can be edited or deleted later. Duplicate keys are rejected.
- Translation — one section per company language, each with the public Name, Description (short), Description, Course (short), and Course texts (rich-text). These are the words guests see on booking channels and documents, so write them in every language you sell in.
- Trip Dates — the departures built from this itinerary: create, open, copy, or delete them right here, and expand a row to see its bookings. Same tool as the standalone Trip Dates page, pre-filtered to this route.
- Booking — every booking made on any of this itinerary's departures, read-only.
- Images — the itinerary's photo gallery, picked from the media library. Deleting a tile only detaches the photo; the file stays in the library.

Set up a route, step by step
- Create the itinerary. All Itineraries → Create. Fill in the five required fields — Name, Status (start as Draft), Internal ID, From, To — add the Divesites, and Save.
- Write the sales text. On the Translation tab, add the public name, descriptions, and course text per language; add photos on the Images tab.
- Schedule the departures. On the Trip Dates tab, create each dated run — or bulk-copy last season forward. Each trip date ties this route to a vessel and a departure date.
- Activate the cabins and attach a price. On each trip date, switch on the cabins you sell and give it a price season — a trip cannot be booked until it has both.
- Go live. Set the itinerary's status to Active so it appears on your booking channels.
