Equipment items

Some things you own aren't counted in bulk — they're tracked one unit at a time. A scuba tank, a regulator, a boat engine: each has its own serial number, purchase price, warranty, and service record. The Individual Item stock type turns a product into exactly that — a set of individually numbered equipment items you manage on the product's Items tab.

Who can access this: requires the Equipment (read) permission and the Equipment module. Adding, duplicating, and deleting items require Equipment (create) / Equipment (delete); changing an item needs Equipment (update). Read access is granted by default wherever dive-boat access is.

Turning a product into individual items

Individual items live on a normal product. To set one up:

1. Open the product and tick Product with Stock.
2. Set Stock Type to Individual Item.
3. Save. An Items tab appears on the product.

From then on the product's stock is counted from its items, not typed in by hand — every number you see (on hand, available) is worked out from the items themselves.

Warning: Changing the Stock Type of a product that already has stock movements is a significant switch. After changing a product to (or from) Individual Item, an administrator should Reset its stock (on the product's Stock tab) so the totals rebuild cleanly from the items. See Product stock.

How stock is counted

For an Individual-Item product, the four stock totals come straight from the state of each item:

Total	Counts…
On hand / Stock	Every item that hasn't been Retired or Lost.
Available now	Only Active items, minus any reservations.
In Maintenance / Out of Order	Still owned (they stay in On hand) but not available — a downed unit can't be handed out.
Used	Items that have been Retired or Lost (written off).

So sending a tank for a service drops Available by one without changing On hand; retiring it drops both. Reservations still work the count-based way described in Product stock — "three tanks reserved for this trip" holds three units back from Available while the booking is live.

The Items tab

The Items tab lists every unit of the product, with a summary strip across the top.

The summary strip shows six live counts: Total, Active, In maintenance, Out of order, Retired, and Available now.

The list has one row per item — Item No., Name, Serial No., a Status chip, Purchase date, Purchase price, and a Next due chip for its next maintenance. Click any row to open the item.

The toolbar carries two buttons:

• Print — opens a print-friendly view of the current list.
• Add items — a quick-add stepper. Pick a number from 1 to 20; Gurita previews the item numbers it will create (for example TNK-0013 … TNK-0017) and adds that many numbered items in one go, ready for you to fill in the details.

Per row, a + usage button records use of that unit — a tank fill, an engine run — bumping its usage count. Usage feeds usage-based maintenance rules (see Equipment maintenance); it doesn't affect stock. A wrench icon on each row opens the Record maintenance dialog for that item (see Equipment maintenance).

Selecting rows opens a bulk bar:

Action	What it does
Duplicate	Copies each selected item as a fresh unit — same name (marked (Copy)), manufacturer, price, and maintenance rules, but a new item number, a blank serial number, and no service history. Use it to add several identical units quickly.
Delete	Removes the selected items (subject to the delete rules below).
Clear selection	Deselects everything.

The item detail

Clicking a row (or Add items then a row) opens the item, where you edit its details, set its status, run maintenance, and read its history.

Field	What it holds
Item No.	The unit's number, assigned automatically from the product (its Internal ID as a prefix — e.g. TNK-0013 — or EQ if the product has none). Fixed once set.
Name	A label for the unit. Defaults to the product name plus the item number; rename it to anything (e.g. "Port engine").
Serial No.	The manufacturer's serial number.
Manufacturer	Who made it.
Purchase date / Purchase price	When you bought it and for how much (with currency). The price seeds the stock cost basis.
Warranty until	The warranty expiry date.
Operating hours	The unit's meter reading, for hour-based maintenance. For an item linked to a boat, this is read from the boat's engine hours automatically and can't be edited here.
Usage count	How many times the unit has been used. Add to it with Add usage here or the + usage button on the list.
Comment	Free notes.

Below the fields sit the item's Maintenance plan (its recurring service rules — see Equipment maintenance) and its Service history, a timeline of every completed job and status change, newest first. Click + Record maintenance above the timeline to log work on this item (see Equipment maintenance).

Item status and lifecycle

Every item has one status. It never changes on its own — you move it with the Change status control at the top of the item: pick the new status, add an optional comment, and click Set status. Each change is stamped into the item's history with who did it and when.

Status	Meaning	Effect on stock
Active	In service and available.	Counts toward Available now.
In maintenance	Temporarily out for service.	Stays on hand, but not available.
Out of order	Broken, awaiting repair or a decision.	Stays on hand, but not available.
Retired	Permanently removed (sold, scrapped, decommissioned).	Written off — leaves stock.
Lost	Missing or stolen.	Written off — leaves stock.

Retiring or losing an item writes it off stock automatically (Gurita records the matching stock movement for you). If a "lost" item turns up, or a "retired" one is brought back, set it to Active again and Gurita reinstates it into stock.

Warning: You can only delete an item that was just created and has no history — a mistaken entry you want to erase. Once an item has been used at all (any status change, stock write-off, or maintenance record), deletion is blocked and Gurita asks you to Retire or Lose it instead, so its trail is never silently destroyed. A product that has any items can't be deleted while they exist.

Tip: Retire is the right choice for a unit you've sold or scrapped — it keeps the full purchase and service record on file while removing the unit from your live count.
