Rooms & cabins

Rooms (in a resort) and cabins (on a vessel) are the sellable units guests actually book. Each one has a type that defines its capacity, and one or more bed types.

Who can access this: Available to any signed-in staff member. Open Master Data → Rooms (or manage them from inside a resort or vessel).

Creating a room or cabin

Open a room from the list, or create one from the Rooms tab of a resort or the Cabins tab of a vessel so it is linked automatically. Work through the tabs:

Overview tab

Field	What it does
Name	The room/cabin label (e.g. "Room 12", "Cabin A3"). Required.
Active	Turn off to keep the room in the system but out of availability and sales.
Visible	Controls whether guests/agencies see it in online booking.
Hide in view	Hides the room from the occupancy calendar without deactivating it.
Internal ID	Your own reference code.
Deck	(Cabins only) The deck the cabin sits on. Required for cabins.
Room Type / Cabin Type	The type that sets capacity and description. Required.
Sort	Orders the room in lists and the calendar.
Bed type	The primary bed configuration.
Additional bed types	Extra bed options this room can offer.

Other tabs

• Description — a rich-text description per language.
• Config — the room's own Min / Default / Max number of pax, prefilled from the type and capped by the type's limits (max 20). Below the pax numbers is a list of amenity switches you can flag for this room — fan, air conditioning, sea view, warm water, bathtub, window (and whether it opens), toilet, hairdryer, WiFi, safe, fridge, TV, and shower. These appear on the guest-facing profile.
• Beds — one row per bed, up to the room's max pax. For each bed, set Active (a bed that is off is shown with a red marker and is never assigned), Visible, its Name, an optional Max age in years (turns the row into a child bed; only offered when a child age limit is set in booking settings), and an Internal ID. Two switches at the top of the tab control shared-cabin behaviour: Shared room/cabin possible (lets Gurita sell single beds in the cabin to different bookings) and Allow rooms with mixed gender over different bookings (lets those bookings be of different genders). Add or reduce beds by changing the max pax number.
• Blocked — block the room for a date range (see below).
• Images and Bookings — photos of this specific room, and its own booking history.

Blocking a room

Use the Blocked tab to take a room out of availability for repairs, an event, or any reason. Click Add for a new block (it defaults to the next seven days), then set:

• Reason — free text, shown to staff.
• From / To — the blocked date range.
• Type — Maintenance, Out of order, or Event.
• Show as booking — draw the block on the occupancy calendar as if it were a reservation, so staff can see at a glance why the room is unavailable.
• Show as state — when shown as a booking, borrow a booking state's colour (Planned, Confirmed, or Draft) so the block matches your calendar colour code.

Warning: A blocked room cannot be booked for the blocked dates and counts against occupancy. Remove a block with the trash icon while it is still current. A block whose end date has already passed is locked (read-only), and blocks that ended more than a month ago drop off the list automatically.

Room & Cabin Types

Who can access this: Available to any signed-in staff member. Open Master Data → Room/Cabin Types.

A type is the template every room or cabin of that kind shares — its capacity, description, photos, and calendar colour. Prices are set per type, not per individual room, so a clean set of types keeps pricing simple. A type belongs to a resort or a vessel.

Create or edit a type in the dialog:

Field	What it does
Name / Key	The display name and a short unique key used in imports and channel mapping. Both required.
Min / Default / Max number of pax	The occupancy range. Default is the "normal" occupancy that base prices are quoted for; Min and Max drive single surcharges and higher-occupancy discounts (see How a booking total is built).
Size (sqm)	Room size, shown to guests.
Visible / Hide in view / Collapse in view	Control where the type appears in online booking and how it is shown on the calendar.
Color	The accent colour used for this type on the occupancy timeline. Clear it to fall back to the automatic palette.
Surcharge / Type	An optional default single-use surcharge (shown when the room-type surcharge feature is on and default pax is above 1).
OTA fields	Availability and mapping sent to connected channels (shown with the OTA module).
Description / Images	Per-language text and photos.

Tip: You can Copy an existing type to create a similar one, then adjust the capacity or name.

OTA fields on a room/cabin type

When the OTA module is on, an extra OTA panel appears on the type. It controls what connected channels (Booking.com, Expedia, and so on) see for this type:

Field	What it does
Available to OTA	How many rooms of this type to publish to channels. Leave at -1 to use the default (all).
Max number of pax	The highest occupancy offered on channels, capped by the type's own max.
Number of rooms to keep available	A safety buffer held back from channels so you never oversell — e.g. keep 2 rooms for direct guests.
Room type (OTA)	Maps this type to the channel's standard room category (Double, Twin, Suite, and so on) so availability lands on the right listing.

Warning: Getting the OTA mapping wrong can oversell or hide a room type online. Set the Room type (OTA) and keep available buffer carefully, and check the result in Settings → OTA mapping. See Settings & Administration.

Bed Types

Who can access this: Available to any signed-in staff member. Open Master Data → Bed Types.

Bed types are the vocabulary you pick from on each room (Double, Twin, Bunk, and so on). Each bed type has a Name and a Title/Description per language. Create the bed types you use once, then assign them on rooms and cabins: every room has one primary Bed type and, optionally, a list of Additional bed types it can be configured with.
