Newsletter campaigns
Campaigns are one-off bulk mailings — a newsletter, a season opening, a special offer — sent to many customers or agencies at once. They are separate from the automated per-booking mails (confirmations, reminders) the mail scheduler sends: a campaign is written once, aimed at an audience you choose, and sent on a date you pick. Campaigns live under CRM → Campaigns.
The campaigns list
Who can access this: Requires the Campaigns permission and the Campaigns module (Settings → Active Modules). Starting or scheduling a send additionally requires the send campaigns permission.

The list shows every campaign with its Name, Date, Recipients, Opens, and Clicks, and a status chip. The tabs above the table filter by state (All, Drafts, Scheduled, Sent).

Clicking a row opens the right page for its state: drafts and scheduled campaigns open in the editor, a sending campaign opens its progress page, and finished ones open their results. Each row also offers Duplicate (copy an old campaign as a new draft); only drafts and aborted campaigns can be deleted — a campaign that has reached real recipients keeps its history.
Creating a campaign
Click New campaign. Gurita creates a draft immediately and opens the editor, which walks you through four steps: Content, Recipients, Review, and Send. Your work is saved when you click the save button in the header or move between steps; if you try to leave with unsaved changes, Gurita asks whether to Save & leave, Discard, or Stay.
Step 1 — Content
The content step of the campaign editor
- Subject and Preheader — the preheader is the line shown after the subject in the inbox. The How it looks in the inbox panel previews both live, with character counters.
- Sender account — which of your configured mail accounts sends the campaign. The account must be connected; the review checklist verifies this.
- Start from template — begin from one of your mail templates instead of a blank page.
- The mail editor supports formatted text, images, and merge fields, so every recipient can be greeted by name.
- Add image attaches inline images that are sent with the mail (max. 2 MB per image).
Two things are added automatically and need no work from you: the unsubscribe link in the footer (required — it cannot be removed) and the sender signature of the chosen account.
Send test mail delivers the campaign to yourself before any real recipient sees it. Pick a test recipient — a real customer or agency record, so merge fields resolve with real data — and optionally a Deliver to address; if you leave it empty, the mail goes to the test recipient's real address. A successful test send is a required checklist item: no campaign goes out without one.
Step 2 — Recipients
Choose the audience type first: Customers or Agencies. (Switching discards the other type's selection — Gurita asks before it does.)
- Saved segments — reuse the filters you saved on the customer or agency list. Multiple segments are combined with OR.
- Custom conditions — narrow the result further with the filter builder (combined with AND), exactly like the customer filter. A useful combination you build here can be stored with Save as segment.
The Reachable recipients card counts your audience live as you edit, with a breakdown: the raw count From segments & filters, minus Not reachable (recipients who unsubscribed or whose consent was revoked), minus Invalid address. Unsubscribed recipients and invalid addresses are never included.
Step 3 — Review
The review step with the checklist
The review step shows a preview of the finished mail (switch between Desktop and Mobile · 375 px) next to a Checklist. Required items — all must be green before the campaign can be sent:

The Domain check is a note, not a blocker: it verifies the sender domain's SPF, DKIM, and DMARC records. Mail still goes out if something is missing, but it lands in spam more often — worth fixing with your IT or domain host.
Step 4 — Send
Two choices:
- Send now — sending starts immediately, or at the next opening of the send window.
- Schedule — pick a date and time; the campaign waits as Scheduled.
Campaign mail shares its send rate and daily send window with your booking mail (changeable in the scheduler settings), so a large campaign is spread over several days rather than fired in one burst — better for deliverability and for your reply inbox. The send step shows the resulting estimated duration and the date the last recipients get the mail.
Warning: If the estimate spans several days, avoid short deadlines in the content ("this weekend only") — later recipients would receive them too late.
A scheduled campaign locks its editor: a banner shows Scheduled for the chosen date, with Reschedule to change it and Cancel campaign to turn it back into an editable draft.
While it sends: the progress page
A sending campaign shows live counters — Queued, Sent (with deliveries), and Rejected (invalid addresses) — an overall progress bar with the estimated completion, and one tile per send day marked done, running, or planned. View interim results opens the results page while the send is still running.
Cancel send stops all mail not yet delivered; mail already delivered cannot be recalled. The campaign then counts as Aborted, and its results page shows what went out before the stop.
If sending pauses itself
When a send hits too many errors in a row, Gurita stops it on its own instead of burning through your audience: the campaign switches to Paused and a banner explains — usually the sender account lost its connection. Fix the account, then click Resume; sending continues where it left off.
Results
The results page of a sent campaign
Open a sent campaign for the full picture:
- Delivered, Opened (unique), Clicked (unique), How many openers clicked, Unsubscribes, and Rejected at send.
- The History chart plots opens and clicks over time against the grey sent-per-day columns.
- Clicked links lists every link in the mail with its clicks and share — which offer actually worked.
- The Recipients table shows every recipient with delivery status, opens, clicks, and unsubscribes, searchable by email address.
Note: Open rates are inflated by Apple Mail, which loads mails (and thus "opens" them) automatically on behalf of its users. Gurita flags this on the open KPI — treat clicks as the more reliable signal.
Resend creates a follow-up as a linked draft: either to non-openers (small audience, but includes the Apple Mail false-opens) or to non-clickers (more reliable selection, larger audience). Gurita recommends waiting at least three days after the last send so the numbers have settled.
Newsletter consent
Every customer and every agency carries a newsletter consent, shown as a chip on their profile: Newsletter: Granted, Revoked, or Unknown.
- Granted is the default — every customer starts as reachable, and stays so until they opt out.
- Revoked means never contact again: the recipient is excluded from every campaign automatically and shows up under Not reachable in the audience count. Consent is re-checked at send time, so someone who unsubscribes after you scheduled a campaign is still excluded.
- Unknown appears on some older records with no recorded decision — these recipients are still mailed; only an explicit revoke stops delivery.
Consent changes by itself when a recipient clicks the Unsubscribe from this newsletter link that every campaign carries in its footer. Staff with the update permission can also set it by hand — click the chip, choose Granted or Revoked, and Gurita records the change with source "Manually confirmed" and today's date. The chip's tooltip always shows where the current status came from and when.
Tip: Marketing consent is also a filter field on the customer and agency lists — build a segment of everyone who revoked, or check how much of your base is reachable before planning a campaign.
