Payment links
A payment link is a one-time, scoped payment page you send to a guest for one specific bill — a POS receipt, one room's on-site bill, or one folio. The guest opens it without logging in, sees only that bill, and pays by card or bank transfer. This page is for front-desk, F&B, and finance staff who collect money for a receipt, a room's incidentals, or an invoice.
Who can access this: Requires the Payment Links module (premium tier — see Modules). Creating a link additionally needs the permission for the bill it collects: POS (create) for a receipt, or the same Bookings (edit) permission you already use to add a payment for a room's on-site bill or a folio.
Turning it on
- Go to Settings → Active Modules, Finance category, and switch on Payment Links. If it shows Upgrade instead of a switch, it isn't part of your plan.
- For POS receipts only: the Payment Link button lives in the redesigned counter. Under POS settings, tick Use redesigned POS counter (beta) — see Opening the counter. The classic counter has no Payment Link button.
- Administrators can set the mail template and how long a link stays valid before it expires under Settings → Configuration: POS for receipt links (default 1 day) and Booking for on-site and folio links (default 14 days).
What a payment link collects
Every link is scoped to exactly one bill — never the whole booking. The dialog always names what it collects at the top (Collects) and the amount below it (Full Open Amount — there is no partial or custom amount on these three surfaces):
- A POS receipt — its own open balance, in the receipt's currency.
- One room's on-site bill — that room's own open balance only, in your property's on-site currency (or, when your on-site bill is split by guest, one guest's own share of it).
- One folio — that folio's own balance (its lines minus its own payments), never the booking's other folios and never the on-site bill.

Creating a payment link for a POS receipt
- Open the receipt on the redesigned counter.
- Click the Payment Link icon (link icon) in the bill header.
- Check Collects (the receipt number) and Full Open Amount.
- Pick a payment provider, or leave it on Bank Transfer.
- Optionally change the expiry (defaults to 1 day).
- Optionally enter the guest's email, then click Create Link.
- To email it, use Send — the mail uses the seeded Payment link (POS) template.
Note: A room-charged receipt (Charge to room) cannot get a POS link — collect it from the room's on-site bill instead once the charge lands there.
Creating a payment link for a room's on-site bill
- Open the booking and go to the Billing (Onsite) tab.
- On the room's card, click Payment Link in the header — next to Pay and Print.
- If your on-site bill is split by guest, each guest's row has its own Payment Link button instead; the dialog then collects only that guest's share.
- Check Collects (the room, and the guest's name in by-guest mode) and Full Open Amount, pick a provider or bank transfer, and click Create Link.
Worked example. A booking's on-site balance is 91.02 EUR across several rooms, but Room "Lower Deck 2" itself owes only 24.40 EUR. Clicking Payment Link on that room's card opens a dialog that collects exactly 24.40 EUR — not the booking's 91.02 EUR. Once that link is paid or an equal one is open, a second attempt on the same room is blocked ("Open 0.00 €").
Creating a payment link for a folio
A folio link is completely separate from the on-site bill — it settles one invoice, never the room's incidentals.
- Open the booking's Folios tab.
- On a draft or issued folio card, click Payment Link. The button is not offered on the catch-all or on a voided folio.
- Check Collects (the folio number) and Full Open Amount — the folio's own balance — then create the link as usual.
The guest lands on their normal invoice page, reduced to the folio: a banner names it ("This link settles folio …"), the amount due is that folio's balance, the item list shows only the folio's own lines, and the invoice recipient is the folio's bill-to guest — not the booking's contact person or agency. The booking's payment plan and cancellation terms are not shown; they belong to the rest of the booking, not to this folio.
What the guest sees
- Only the lines that belong to the scoped bill — the receipt's items, that one room's items, or that one folio's items. Never the rest of the booking.
- Your bank details for a transfer, and a Scan to pay QR code for the same link.
- If the link has expired or been revoked, or the page is opened without any link at all, the guest sees a View only bill: the amount and items, but no Pay button and no bank details. Ask them to request a new link.
- A folio link that goes stale (the folio was voided or the link is unreadable) is the one exception — the guest still lands on the regular, still-payable invoice page, just without the folio banner.

Managing links
- One open link per bill. Creating a new one while another is still open is refused — Revoke Link the old one first.
- Revoke closes the link immediately; a guest already at the payment provider may still be able to finish that one attempt.
- Copy Link / Scan to pay (QR) let you hand the link over without email.
Tip: Revoking a link does not lock the underlying bill — staff can still record a payment on it normally, and (for on-site and folio bills) the guest can still reach the plain invoice page directly.
