Agent Credits and Customer Credits ​

A credit is a prepaid or leftover balance held on account for an agency or a guest, ready to spend on a future booking. Credit builds up when someone pays more than a booking costs, or when a paid booking is cancelled and you keep the money on file instead of refunding it. It is drawn down when you apply it as payment on a new booking.

Both pages work the same way: coloured summary cards show the total balance per currency (green for a positive balance, red for negative), and a list shows each agency or customer with their balance. Open a row to see that account's credit history on its Credits tab.

  • Agent Credits — balances held for agencies. Common where a partner pre-funds an account or earns commission that is kept as credit.
  • Customer Credits — balances held for individual guests. The page splits the view into Total (the whole balance), Direct (credit that arose against a booking's prepaid side), and On-Site (credit that arose against on-site spending).

To spend a credit: on the booking's Payments tab, add a payment of type Agent Credit or Customer Credit. Gurita draws the amount from the balance and records it on the folio like any other payment.

Worked example. Agency Blue Reef overpays an invoice by €500 and you keep it on account instead of refunding — their Agent Credits balance now shows €500 (green). Next month they book again for €1,200. On that booking's Payments tab you add an Agent Credit payment of €500: Gurita draws €500 from the balance (now €0) and the new booking's open balance drops from €1,200 to €700. Delete that payment later and the €500 returns to the agency's balance automatically.

Note: applying credit as payment reduces the stored balance automatically; removing that payment returns the amount to the balance. You never edit the running total by hand.

Who can access this: Agent Credits requires the Agencies permission; Customer Credits requires the Customers permission. Both are view permissions.
