How money flows through Gurita
Before the individual pages, here is the everyday cycle that ties them together. Every booking has a folio (its running bill) and an open balance (what the guest or agency still owes). Finance is about turning real money into recorded payments that reduce that balance.
- Money arrives. A guest pays cash at the desk, taps a card, or an agency sends a bank transfer.
- It becomes a payment record. Cash and card taken on site are recorded straight onto the booking (they show up in Cash Box). Bank transfers arrive as bank entries — you import your bank statement into the matching bank account, or a connected account (Wise) syncs them automatically.
- You match it to a booking. In All Payments, you open each bank entry and assign its amount to the booking(s) it pays for. This creates a payment on that booking's folio.
- Balances update. The booking's open balance drops, the folio shows the payment, and the bank account's running balance reflects the entry.
- Loose ends get resolved. Money you can't yet match sits as an unassigned bank entry or a Temporary Payment until you tie it to a booking. Overpayments and cancellations can turn into credit the guest or agency spends later.
Tip: the colour code is consistent across Finance. Green means fully matched / paid, red means something is still open or unassigned.
Payment types at a glance
Every payment on a folio carries a type that says where the money came from and which Finance page it surfaces on.
