How totals are calculated
Each folio card totals up on the right. The figures are built in this order:
- Line total — each row's total is its share of the original charge: Amount × Single price for per-night or per-item rows, or the exact figure you enter for a lump-sum row. Assign only part of a charge and the total is proportional.
- Sum (the grand total) — all the folio's line totals added together.
- Tax — worked out for each line from that line's tax rate, then grouped by rate in the panel. If your prices include tax, the tax shown is the part already inside the Sum; if your prices are before tax, the tax is added on top.
- Subtotal (net) — the Sum minus any included tax; the amount before tax.
- Paid — every payment allocated to this folio, added up (see Payments on the folio).
- Balance — Sum minus Paid. A zero balance shows green (settled); a negative balance shows amber (overpaid).
For included tax, Gurita carves the tax out of each line: a line's net is Sum × 100 ÷ (100 + rate) and its tax is Sum − net. For tax added on top, the tax is Sum × rate ÷ 100.
Note: All amounts are in the booking's currency and rounded to two decimals. When one charge is split across folios, the last share absorbs any rounding difference, so the parts always add back to the original to the cent. A payment taken in another currency is converted at its recorded exchange rate before it is added to Paid.
The rounding rule in practice: say a 100.00 EUR lump-sum charge is split three ways. You put 33.33 on the first folio and 33.33 on the second. The catch-all then shows 33.34 left — not 33.33 — because the remaining share is always the original minus what you have already assigned (100.00 − 33.33 − 33.33). Issue that remainder and the three invoices add back to exactly 100.00.
Worked example: a room stay with extras
One guest, Ms Adams, booking in EUR, with 10% tax included in every price. All charges are placed on one folio addressed to her:

The totals panel then reads, step by step:
- Subtotal (net): each line's net is Sum × 100 ÷ 110 → 1,000.00 + 200.00 + 100.00 − 100.00 = 1,200.00 EUR.
- Tax (10%, included): each line's tax is Sum − net → 100.00 + 20.00 + 10.00 − 10.00 = 120.00 EUR.
- Sum: 1,100.00 + 220.00 + 110.00 − 110.00 = 1,320.00 EUR (net + tax = 1,200.00 + 120.00).
- Paid: a 400.00 EUR deposit is allocated to the folio → 400.00 EUR.
- Balance: 1,320.00 − 400.00 = 920.00 EUR — shown as open (dark bar).
When the guest later settles the 920.00, the bar turns green and reads settled.
The guest-facing totals
The invoice the guest sees (and the booking's headline figures) use plainer wording:
- Total Amount — the whole bill.
- Paid — everything received so far.
- Amount due — what is still open.
Deposits and prepayments appear as a payment schedule — dated instalments, each ticked off and struck through once paid — not as charges. On-site supplements are listed separately as payable on site.
Warning: A deposit is part of the payment schedule, never a folio line. Do not add it as a charge or the booking will be billed twice.
