The Availability finder
The Availability finder is a search dialog over the Occupancy Timeline: instead of scrolling the calendar room by room, you ask "who has space for 2 guests, 3 nights, sometime this month?" and get back the free windows, or a month-at-a-glance grid per room type. It opens on top of the timeline and can start a booking directly from a result. Front desk and reservations use it to answer availability questions on the phone or find the best stretch of open dates without a manual scan.
Who can access this: Requires the Bookings permission and appears only in the Occupancy Timeline, so the Occupancy Timeline module must be active (see Active Modules). The Book actions inside additionally require the Bookings create permission — without it you can still search and jump to a date, but not create a booking from a result. Agency logins never see the Availability finder button: it shows house-side data (rack rates, exact free rooms) that agencies don't get elsewhere either.
Availability finder dialog, Free windows tab
Opening the finder
Click Availability finder in the timeline's toolbar (or, on a phone, in the ⋮ menu) to open it. The dialog has two tabs — Free windows and Availability by category — and starts on the month the timeline is currently showing. Every search you run inside stays in the dialog; closing it discards the search, so the next time you open it you start fresh.
The "Free windows" tab
This tab reads like a sentence: "I am looking for [guests] for [nights] between [date range]". Set the party size and the minimum number of nights with the − / + steppers (1–14 nights), pick the date range to search within, and use the room-type chips to narrow the search to specific types — at least one chip always stays selected.
Gurita then lists every stretch of consecutive free nights, at least as long as you asked for, per matching room type:
| Column | Shows |
|---|---|
| Window | The date range of the free stretch, with arrival and departure weekdays underneath. The longest window in the whole list is flagged Best. |
| Nights | Its length. |
| Room type | The room type and its maximum guests. |
| Free | The fewest rooms of that type free on any single night of the window — the number you could still lose. |
| from | The lowest nightly rate found for that room type in the window (the resort's standard rate, not an agency or special price) — shown as "per night". A dash means no price list covers it. |
Two actions sit at the end of each row:
- Show in calendar (the calendar icon) scrolls the timeline to the window's start date, so you can look at it in context.
- Book takes you straight to the booking form for that room type, dates, and the first room that's free for every night of the window — the same step you'd reach by selecting those dates yourself on the calendar. It's disabled on the rare occasion no single room covers the whole window.
Note: If more than 8 windows match, click Load more to see the rest.
The "By type" panel
To the right, a card per room type shows how many nights of your search range are free for it, with a progress bar, and one of these notes:
- Longest gap N nights from <date> — the longest free stretch that type has.
- No gap of N+ nights — nothing long enough for the nights you asked for.
- Only up to N guests — the type can't host your party size at all, and is excluded from the results.
If nothing matches, the table shows No window matches this search — try a shorter stay or another room type.
Warning: The search range is capped at 3 months. A wider range shows Range too long – max. 3 months instead of results — narrow the dates to search.
The "Availability by category" tab
This tab swaps the hit list for one small month calendar per room type (Monday first, with the neighbouring month's days shown paler). Use the arrows to page between months, and the Rooms stepper to set how many rooms of a type must be free at once — this is what the colours and the badge react to.
Availability finder dialog, Availability by category tab
Each day cell shows the day number and how many rooms of that type are free that night, tinted by how comfortably it clears the Rooms count you set:
| Colour | Meaning |
|---|---|
| Green | 6+ rooms free |
| Light green | 3–5 free |
| Amber | 1–2 free — tight |
| Red | fully booked |
| Coral hatch | overbooked (more booked than the type has) |
Each type's card carries a badge: 22/30 means 22 nights this month have at least the requested number of rooms free out of 30 total; only N rm. means the type has fewer rooms in total than you asked for, and its whole grid is dimmed.
Stats and booking
The rail on the right repeats the colour Legend, then a For N rooms summary: how many nights of the month have that many rooms free somewhere, the longest single gap (with the room-type code and its start date), and how many room types can serve that many rooms at all. Create booking starts a booking for the longest gap found.
Click any day cell that shows a free-room count to start a one-night booking for that room type on that date, in the first free room — cells with no free rooms, and whole categories with too few rooms, aren't clickable.
How "free" is counted
Both tabs count a room as occupied on a given night when a Confirmed or Option / Hold booking, or a room block (maintenance, out of order, or an allotment hold), covers that night — the checkout day itself counts as free again. Hidden room types and hidden rooms are left out entirely. These are the same numbers the timeline's own occupancy row shows for the same dates, so the finder never disagrees with the calendar you're looking at. For the same numbers alongside rates and stay restrictions, day by day, see the Room Inventory tab on the Occupancy planner (Room Inventory module required).
Tip: The finder is a fast way to find a window — the booking form still re-checks availability the moment you save, exactly as described in Availability & overbooking.
