Booking statuses & lifecycle
Every booking has one status. The status controls which actions are available and whether the rooms count as taken.
| Status | Meaning | Reached by |
|---|---|---|
| Inquiry | A non-binding request; rooms are not held. | Created as an inquiry. |
| Waiting List | Guest wants a sold-out trip; waits for space. | Created as waiting list (with a preference). |
| Option / Hold | Rooms are held temporarily until an expiry date. | Created as a hold, or Reserve. |
| Confirmed | A firm booking; rooms are taken. | Book, or created as confirmed. |
| Cancelled | The booking was cancelled; a fee may apply. | Cancel. |
| Released | A hold that was let go; rooms are free again. | Release, or automatic expiry. |
| Rebooked / Splitted | Replaced by another booking (rebooking or split). | Rebook / Split. |
| Merged | Absorbed into another booking; rooms, charges, and payments moved there. | Merge (on the surviving booking). |
| Resolved | Finished and locked; read-only. | Resolve. |
| Deleted | Removed; restorable by an admin. | Delete. |
How an Option / Hold expires
A hold carries an Expiry Date. If it is not confirmed by then, Gurita releases it automatically and the rooms return to availability. By default, holds are released after 14 days, and a reminder is sent 3 days before — both are configurable in booking settings.
Tip: To chase holds that are about to lapse, open the Booking List, apply the only upcoming and Option / Hold filters, and sort by status (which orders by expiry).
Check-in and check-out
Where the check-in/check-out feature is on, you can mark a booking (or an individual room) as checked in on arrival and checked out on departure. The status shows on the Overview tab, in the calendar, and in the occupancy lists. Check-in and check-out do not change the price.
Open the Check-In dialog from the Occupancy planner or the Guests tab. It shows:
- The arrival and departure dates and the open / paid amount.
- A date and time for the check-in (it defaults to the arrival date; admins — or anyone when different dates are allowed — can pick another).
- Each guest's guest form with completion percentage, plus buttons to create, download, open, or copy the form link.
- A per-guest No-Show toggle (see below) and any booking comments.
Click Check-In to confirm. Whether check-in is per booking or per room depends on your company's settings.

No-show
During check-in you can mark an individual guest as a No-Show. This is designed to be fair and accurate:
- If the no-show guest was the room's only occupant, the room becomes available again.
- If a roommate is still arriving, the room stays held and the remaining guest is not charged a single-occupancy surcharge.
- The no-show guest stays on the booking and stays billed — marking a no-show never re-prices the booking.
A no-show guest is shown with a red No-Show marker across the booking, calendar, and occupancy screens, and is left out of occupancy and arrival counts. You can undo a no-show if it was marked in error.
