Creating a booking
Start a new booking from the Create (+) button in the top bar, or go to Booking → Create. Gurita asks whether you are booking a Resort stay or a Vessel (liveaboard) trip. If your company only runs one of these, that step is skipped.
Choose resort or vessel
Who can access this: Requires the Bookings create permission. Agency logins can create bookings only when your company allows agency bookings.
Book a resort stay
The resort flow opens on the availability calendar (Booking → Create, resort). It has two steps: pick the dates and rooms on the calendar, then fill in the booking details.
Step 1 — Pick dates and rooms.
- Choose the resort at the top (if you run more than one).
- On the calendar, click the arrival day for a room, then click the departure day. This selects a stay range for that room.
- Repeat for as many rooms as the booking needs. The occupancy row at the top shows free rooms and the day's occupancy.
- In the selection bar at the bottom, click Create Booking, Create Reservation, or Create Offer. Your choice pre-sets the status on Step 2. The bar also has a Block button to create a room block (maintenance, out of order, or event) instead of a booking, and a × to clear the selection.
Resort availability calendar with a selected range
Tip: Two calendar styles are available where the Occupancy Timeline module is on — the classic table and a drag-and-resize timeline. Switch between them with the Timeline / Classic button; your choice is remembered per device. Both create bookings the same way. For the full tour of the timeline — including moving and resizing stays by drag and drop — see The Occupancy Timeline; for the underlying rules, see Availability & overbooking.
Step 2 — Fill in the details. A summary card shows the dates, number of nights, the rate (season), the price calculation type, and the minimum nights required. Complete the booking form:
| Field | Notes |
|---|---|
| Season / rate | The rate for these dates. If several apply, pick one; the price, terms, and price variants all follow the rate. Agencies can only change the rate when your company allows it. |
| Agency | The partner sending the booking. A default may already be filled in. Required. |
| Currency | Used for pricing. Pre-filled from the rate or agency. Only currencies the rate allows are offered. Required. |
| Language | Used for documents. Pre-filled from the agency when possible. Required. |
| Status | Inquiry, Option / Hold, Confirmed, or Waiting List (see statuses). Pre-set from the button you clicked in Step 1. Required. |
| Waiting list options | Only when the status is Waiting List: Same Room Type, Exact Room, or No Matter. |
| Terms of payment | Payment terms; pre-filled from the rate or agency. Not shown to agency logins. Required. |
| Sales contact / Contact person | The named contact at the agency, or a booking contact person, when the agency uses them. |
| Source | Where the booking came from. Shown when more than one source exists; can be made mandatory in booking settings. |
| Category | How you classify the booking. Shown when more than one category exists; can be made mandatory in booking settings. |
| Commission | The commission model for this agency and rate. Locked when only one option applies. |
| Ignore allowed arrival/departure | Appears only when your dates break an allowed-days rule. Tick to override. Needs both Bookings create and Bookings update. |
| Ignore minimum nights | Appears only when the stay is shorter than the rate's minimum. Tick to override. Needs both Bookings create and Bookings update. |
Below the form, each selected room lists its beds. For every bed:
- Choose a guest with the picker, or type a name and Create a new guest on the spot.
- Use Fill unknown to selected to auto-fill placeholder ("unknown") guests up to the room's minimum, default, or maximum occupancy.
- Where the rate offers price variants (for example adult / child), pick one per guest, or use the Price Variant menu to set the same variant for everyone. The bed price updates as you choose.
- Remove a room with the trash icon (disabled when only one room is left).
The footer shows the running guest count and room count. Click Create Booking to save and open the new booking.
Resort booking details form
Note: Resort bookings do not carry add-ons in the wizard; charge extras during the stay on the folio instead. See The Folio & Invoicing.
Book a vessel / liveaboard trip
The vessel flow (Booking → Create, vessel) begins with the trip search.
Step 1 — Find a trip. Filter the scheduled departures:
| Filter | What it does |
|---|---|
| Vessel | One or more boats (shown only when you run more than one). |
| Itinerary | One or more itineraries (tours). |
| Cabin types | Limit to certain cabin categories. |
| Nights | Trip lengths to include. |
| Ports | Embarkation / disembarkation ports. |
| From (month) | The month to search from. |
| Free beds | Only trips with at least this many free berths. |
| Only upcoming / Confirmed / Hide sold out / Specials only | Quick toggles to narrow the results. |
Choose how many trips to load with the count button, switch between the Densed, More, and Detailed layouts, then click Search. Use Load more to page through results.
Each trip card shows its status (Confirmed, Planned, or Sold out), a Full Charter badge where relevant, the itinerary, schedule, and vessel buttons, the dates (with moon phase when enabled), ports, nights, airports, and the "from" price. Per cabin type it shows a coloured count of free berths (green = several, orange = one, red = none), the cheapest price, and any special. Bed tiles show which berths are free, held, or gender-locked (male / female / padlock icons). Where trip statistics are on, the card also totals beds, available spaces, blocked beds, and confirmed / waiting / option counts.
Trip search results with availability tiles
Click a free bed tile, or the card's Create Booking button, to continue. Clicking an occupied tile opens a small popover with the existing booking (status, number, agency, dates, guests) and buttons to Open it or Create Booking on the trip.
Step 2 — Choose cabins and guests. The screen shows the trip and schedule summary, any add-ons for the rate (with prices), and the booking form:
| Field | Notes |
|---|---|
| Agency | The partner sending the booking. Type a name and Create a new agency inline if you have the right. Required. |
| Currency / Language | Pre-filled from the rate and agency. Required. |
| Status | Inquiry, Option / Hold, Confirmed, or Waiting List. Required. |
| Waiting list options | Only for Waiting List: Same Room Type, Exact Room, or No Matter. |
| Past date | Admins only — back-date the reservation or booking date. |
| Sales contact / Contact person | As for resort bookings. |
| Terms of payment | Pre-filled from the rate or agency. Not shown to agency logins. Required. |
Then assign cabins and berths:
- Tick each cabin you want. Its price, room type, bed type, gender restriction, and free berths are shown.
- Assign a guest to each berth, respecting any gender or age limits on the cabin. Type a name to Create a guest on the spot.
- Use Fill unknown to selected to add placeholder guests up to the minimum, default, or maximum occupancy.
- Turn on Show all to also see fully-booked cabins, and use List to show only the berths you pre-selected from the trip card.
- Click Create Booking.
Vessel cabin and guest assignment
Full Charter
Create Full Charter books an entire vessel departure in one go, filling every cabin with placeholder guests. Use it when a group or agent takes the whole boat.
To create a full charter:
- On Step 2 of the vessel flow, choose the agency.
- Open the Create Full Charter menu and pick how full to fill the cabins — to their default, maximum, or minimum occupancy. Each option has an (only visible) variant that skips cabins marked as not visible.
- Gurita fills every priced cabin with the placeholder ("unknown") guest and creates the booking, capped at the vessel's maximum number of guests.
Full Charter is available only when:
- a placeholder ("unknown") guest is configured in booking settings, and
- the trip has no existing bookings (no cabins already taken).
The trip card and the trip statistics show a Full Charter price and badge where a charter is possible.
Create Full Charter
Tip: After creating the charter, replace the placeholder guests with real names from the Guests tab as the passenger list firms up.
The Trip Calendar
The Trip Calendar (Booking → Create → Trip Calendar, or /booking/trip) shows scheduled vessel departures on a month or week grid. Each departure is a bar with its occupancy percentage; confirmed trips are green, planned trips orange, and cancelled trips red.
