Glossary of key terms
Quick definitions for words this guide — and the app — uses constantly. Skim it once, then come back whenever a term is unclear.
| Term | Meaning |

| Agency | A travel agent, tour operator, or online travel agency (OTA) that sends you bookings; may earn commission and hold a credit balance. See Master data: commerce. |
| Asset | One property your company operates: a Resort, a Liveaboard / Vessel, or a Dive Center. See The three asset types. |
| Booking | A reservation for a resort stay or a cabin on a vessel trip, with its own status, guests, price, and folio. See Bookings. |
| Customer / guest | The stored profile for a guest, club member, or contact — their details, history, and guest forms. This guide often just says "guest". See CRM and customers. |
| Folio | A booking's running bill — the charges billed to one recipient and the payments against them. One booking can have several folios. See The folio and invoicing. |
| Guest form | The online form a guest fills in before arrival (personal data, ID/passport, dive certifications, waivers); Gurita creates one automatically for each guest on a confirmed booking. See CRM and customers. |
| Invoice | What a folio becomes once you Issue it: numbered, frozen, saved as a PDF, and recorded on the booking. See The folio and invoicing. |
| Itinerary | The reusable route a vessel sails (ports, dive sites, nights) — set up once and sold on many dated trips. See Itineraries, Schedules & Vessel Lists. |
| Module | An optional capability an administrator switches on or off for the whole company, such as POS or Transfers. See Modules. |
| No-show | A guest marked as never having arrived. A sole no-show frees the room; a no-show sharing a room does not trigger the single-occupancy surcharge for the guest who did arrive. See Bookings. |
| Option / Hold | A booking status: rooms or cabins are held temporarily until an expiry date, then released automatically if nobody confirms them. See Booking statuses. |
| Permission | A single grant to do something in one area of the app, e.g. view or edit bookings. See Users, roles and permissions. |
| POS (Point of sale) | The till built into Gurita for bars, restaurants, and shops; sales are recorded as receipts and can be charged straight to a guest's folio. See Point of sale. |
| Role | A saved bundle of permissions you assign to a user, such as Editor or Accountant. See Users, roles and permissions. |
| Schedule / Trip | One dated departure of an itinerary on a specific vessel; guests book a cabin on a schedule, never on an arbitrary date range. See Itineraries, Schedules & Vessel Lists. |
| Tenant / Company | Your organisation's account in Gurita. It can run more than one asset, sharing the same customers, agencies and price lists. See One company, several assets. |
